Requirements

Minimum Qualification & Experience

Bachelor's Degree in Human Resource Management, Psychology, or a related field.

Minimum of 1–3 years of experience in an HR role.

Basic understanding of Malaysian labour laws, including the Employment Act 1955, EPF, SOCSO & EIS.

Skills & Competencies

Proficient in managing employee records, payroll, leave, and attendance tracking.

Skilled in using HR systems or Microsoft Office, especially Excel and Word.

Strong verbal and written communication skills.

Ability to solve problems, analyze HR data, and multitask efficiently.

Able to work in a disciplined, detail-oriented, and deadline-driven manner.

Attitude & Personality

Honest, trustworthy, and able to maintain confidentiality of sensitive information.

Proactive and capable of working independently or in a team.

Professional, patient, and approachable in handling employee-related matters.

Willing to work overtime or on weekends if needed (e.g., for audits, payroll processing).

Familiar with recruitment processes, exit interviews, and staff training.

Holds professional certifications or completed HR-related courses.

Responsibilities

1. Recruitment & Employee Placement Management

Plan manpower needs based on the company’s requirements.

Prepare job advertisements and manage the interview process.

Evaluate and select suitable candidates.

Prepare job offer letters and new employee files.

Manage new employee orientation and induction programmes.

2. Employee Records & Data Management

Maintain and update personal information of employees.

Manage employee personal files and important documents.

Prepare and update the HR system / employee database.

3. Payroll & Benefits Management

Calculate and process monthly salary payments.

Manage annual leave, medical leave, unpaid leave, and working hours.

Handle claims for allowances, overtime, and statutory contributions (EPF, SOCSO, EIS & PCB).

Prepare payslips and related payroll reports.

4. Disciplinary & Industrial Relations Management

Monitor employee compliance with company rules and regulations.

Handle disciplinary complaints and conduct internal investigations.

Issue warning letters, show-cause letters, and implement disciplinary actions.

5. Performance Appraisal & Employee Development

Oversee annual or periodic performance evaluation systems.

Develop employee training and development plans.

Recommend promotions or salary adjustments based on performance.

6. Training & Development Management

Plan and manage internal and external training programmes.

Record training attendance and evaluations.

Identify training needs based on performance and departmental goals.

7. Workplace Culture & Staff Welfare

Support initiatives to improve staff motivation and morale.

Organize internal activities such as birthday celebrations, team building, etc.

Manage staff welfare and CSR programmes.

8. Separation & Exit Management

Handle resignation letters, clearance processes, and exit interviews.

Prepare termination documents and final payments.

Ensure compliance with notice periods and return of company assets.

9. Compliance with Employment Laws

Ensure all HR policies and processes comply with the Employment Act and relevant labour laws.

Prepare employment contracts, company policies, and staff handbook.

Act as liaison officer for HR audits or external investigations (e.g., by JTK, SOCSO).
