Role Summary
We’re hiring a Business Assistant based in Malaysia to support overseas customers and regional partners. You’ll coordinate projects, assist with installations and training, handle customer communications across time zones, and keep documentation and logistics on track. Fluency in English and Mandarin is mandatory. International travel is required.
Key Responsibilities
● Customer & Partner Support: Serve as a first point of contact for overseas customers; coordinate pre-sales queries, demos, trials, and after-sales follow-ups.
● Project Coordination: Track orders, shipments, site readiness, and installation schedules; maintain issue/OPL lists and drive timely closure with engineering and service teams.
● On-Site Assistance: Support equipment installation, commissioning, operator training, and basic troubleshooting under guidance from technical leads.
● Documentation: Prepare quotes, SOWs, training guides, checklists, minutes of meeting, and weekly status reports; maintain CRM/records.
● Cross-Functional Liaison: Bridge customers with Neotel engineering, supply chain, finance, and legal for smooth execution.
● Events & Visits: Coordinate factory audits, customer visits, trade shows (e.g., SMTA/EMEA/North America), and technical presentations.
● Remote Support & Time Zones: Join calls in EU/US time as needed; escalate cases per SLA.
● Compliance & Logistics: Arrange visas, invitations, shipping documents, basic export-control paperwork, and service travel plans.

Requirements (Must-Have)
● Bachelor’s degree (Business, Engineering, Supply Chain, or related).
● Language: Excellent English and Mandarin (spoken and written).
● 2+ years in customer success, project coordination, technical sales support, or service operations (industrial/automation/SMT preferred).
● Strong organization skills: scheduling, documentation, action tracking, and follow-through.
● Comfort with technical products; able to learn SMT workflows and Neotel solutions.
● Proficiency with Office/Google Suite; basic CRM usage.
● Travel: Willing and able to travel internationally (Europe, North America, APAC) ~25–50% depending on project needs.
● Ability to work across time zones and handle fast-moving priorities.
Nice to Have
● Experience in SMT, automation, logistics, or manufacturing software (MES/ERP/WMS).
● Basic understanding of export control terms (ECCN/AL), Incoterms, and international shipping.
● Familiarity with installation/commissioning checklists and site readiness.
● Additional languages (e.g., Bahasa Malaysia) are a plus.
● Valid passport and driver’s license.

● On-time installation/commissioning milestones and customer acceptance (buy-off).
● Response and resolution times vs. SLA.
● Customer satisfaction (CSAT/NPS) and repeat orders.
● Accuracy and timeliness of documentation and reporting.
