Requirements
Attention to Detail: A "right first time" attitude when entering complex orders with varying requirements
English and Mandarin: Proficient in the written and spoken English. Optional spoken Mandarin language
Technology Savvy: Comfortable managing high-volume messaging across WhatsApp and professional email platforms
Communication: Excellent written and verbal communication skills; ability to translate customer needs into clear internal instructions
Adaptability: Capable of working independently during the evening shift while maintaining strong links to other departments
Added Advantage: Prior experience in using Customer Relationship Management (CRM) Systems and Accounting Systems at a basic level
Working Hours: 3:00 PM to 12:00 AM (Midnight)
Responsibilities
Multi-Channel Communication: Act as the primary point of contact for customers, managing inquiries via Email, WhatsApp, and if needed by phone
Customer Order Management & Oversight: Supervise the end-to-end order processing cycle, ensuring accuracy in pricing, discounts, and SKU selection. Manage "key account" orders that require bespoke handling or specialized documentation
Manage customer backorders and ensure prompt fulfillment once stock becomes available
Order Entry & Administration: Accurately process sales orders, verify pricing, issue quotes, prepare dispatch notes via Sage 200, and schedule deliveries
Product Information Management: Distribute product and pricing information by email, including price lists and promotional leaflets
Detailed & Thorough: Provide an excellent level of service by resolving customer needs efficiently and effectively. Ensure all specific customer requirements and "special instructions" are clearly noted in the system comments to prevent fulfilment errors
Technical Assistance: Provide support regarding product spares & general order status updates
Internal Liaison: Coordinate with the Warehouse and Stock Control teams via our internal communication platforms to verify availability and expedite urgent requests
Problem Solving: Resolve customer issues efficiently, ensuring a high level of satisfaction and professional service
