Kelayakan

Job Qualifications:

  • Diploma or Bachelor’s degree in Business Administration, Communications, or a related field preferred.
  • Preferably with at least 2 years of experience as a Personal Assistant or Executive Assistant. However, fresh candidates with strong alignment to the job requirements or those seeking a new challenge with a passion for the role are also encouraged to apply.
  • Experience in a corporate environment preferred.
  • Good command of English (mainly), Mandarin, and Bahasa Malaysia.

 

Job Requirements:

  • Full-time, permanent, on-site.
  • Excellent interpersonal, attitude, leadership, teamwork, planning, and good communication skills.
  • Ability to multitask and prioritize effectively in a fast-paced environment.
  • Ability to work independently and as part of a team.
  • Open-minded and willing to accept constructive feedback.
  • Must be willing to occasionally work outside regular business hours to accommodate the General Manager’s schedules.
  • Valid driver’s license.
  • Able to travel as needed.

 

Preferred Skills:

  • Excellent communication skills with good verbal and written language in English, Chinese and Malay.
  • Good IT skills, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Exceptional organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and problem-solving skills.
  • Multi-tasking skill.

Tanggungjawab

Administrative Support:

  • Manage the General Manager’s calendar, schedule appointments, and coordinate meetings.
  • Handle all correspondence, including emails, phone calls, and mail, ensuring timely responses.
  • Prepare and edit documents, reports, and presentations as required.
  • Manage the expenses receipts and process all the monthly claims.
  • General administration tasks as directed.

 

Meeting Coordination:

  • Organize and coordinate the meetings, including preparing agendas, taking minutes, and following up on action items.
  • Ensure meeting rooms are prepared and equipped with necessary materials and technology.
  • Anticipate and collate material for GM’s meetings and presentations.

 

Travel Arrangements:

  • Plan and coordinate travel itineraries, including flights, accommodations, and transportation.
  • Prepare travel expense reports and ensure timely reimbursement processing.

 

Project Assistance:

  • Assist the General Manager with various projects, including research, data analysis, and presentation preparation.
  • Coordinate with other departments to gather information and ensure project deadlines are met.

 

Office Management:

  • Maintain an organized and efficient office environment.
  • Order GM office supplies and manage inventory.

 

Confidentiality:

  • Handle sensitive information with the utmost discretion and maintain confidentiality at all times.
