Kelayakan

  • Malaysian
  • Diploma / Degree in Executive Secretarial / Secretarial or Business Studies / Administration / Management or any related field
  • Minimum 5 years working experience in similar role
  • Excellent communication skills in English and Bahasa
  • Strong integrity, ability to meet tight deadlines and ability to work under pressure

Tanggungjawab

The Executive Assistant performs various functions, including providing high-level secretarial and personal assistance/administrative support in various aspects at the MD’s office. Primarily responsible for the MD’s scheduling and is the focal contact from business units to MD’s office.

Responsibilities:-


SECRETARIAL

  • Support and carry out day-to-day secretarial duties diligently and independently
  • Drafting letters and handle internal & external correspondences
  • Compile and prepare material for any Committee meetings, including preparing and taking notes or minutes
  • Set and manage daily/monthly scheduling, trace and track the important meeting or any events, and set reminders
  • Ensure proper administration records and filings/bookkeeping are achieved
  • Check any documents forwarded to the MD’s Office for approval and ensure the accuracy based on the agreed policies
  • Collects and compile requested data and information from various sources including email and other correspondence, meeting minutes and records, prepare summaries of findings and/or other related written correspondence, as requested
  • Ensure any information received are strictly confidential
  • Collaborate closely with the relevant Committee members, as well as staff from other departments/units and external stakeholders, to ensure that all planning and operations run smoothly

 

PERSONAL ASSISTANT


  • Provide administrative support and handles confidential matters
  • Coordinate and schedule appointments, meetings, and travel
  • Assist and handle personal matters instructed by the MD
  • Ensure all files, memo and reports are updated and filed accordingly
  • Focal contact to guests/visitors at MD’s office – ensure comfortability
  • Responsible for efficient management of the CEO’s schedules and itineraries
