How can you make a difference?  

Purpose of Activity/Assignment:

On-call availability depending on needs for back up for internal operations and support to the Administration Unit in Supply Division, performing various administrative and general services tasks

Scope of Work:

1. Acts as a backup for receiving in-house requests for services from Administration Unit. Responds to queries and forwards requests to the responsible person within the Unit, ensuring timely delivery.
2. Provides back up for other AU functions, travel services and various facility management activities as required, including support in management of mail, couriers, driving, as well as management of office supplies.
3. Provides welcoming and professional access to UNICEF premises for staff and visitors.
4. Supports coordination of event activities, between Administration Unit and internal and external stakeholders for events, on and off premises, including room setups and monitoring during the respective event.
5. Acts as back up coordinator for event activities, between Administration Unit and internal and external stakeholders for events, on and off premises.

 

Work Assignment Overview

Tasks/Milestone 1:
Acts as a backup for receiving in-house requests for services from Administration Unit.
Deliverables/Outputs:
Responds to queries and forwards requests to the responsible person within the Unit, ensuring timely delivery.
Places orders of business cards and similar printing services
Support in travel services, including renewal of UNLPs and Visas. and various facility management
Supports management of mail, couriers and office supplies
Distributes staffs SIM cards and assists with related queries and invoices, communication with provider and similar activities.

Tasks/Milestone 2: 
Receives general phone calls and emails
Deliverables/Outputs:
Distributes general phone calls, emails to respective centre/staff upon review.

Tasks/Milestone 3: 
Provides welcoming and professional access to UNICEF premises for staff and visitors.
Deliverables/Outputs:
Confirms and obtains appointments. Announces visitors to the respective centre and/or individual staff member with due regard to the internal security and safety requirements.

Tasks/Milestone 4: 
Supports coordination of event activities, between Administration Unit and internal and external stakeholders for events, on and off premises. Arranges visitors access badges and ensuring collection of these upon departure.
Deliverables/Outputs: Arranges taxis and other transport as required. Supports in meeting room bookings.

 

To qualify as an advocate for every child you will have  

Secondary Education

Minimum four years of experience in operational and support environment in an international organization or a large private company with frequent international contacts.
Excellent customer service skills.
Demonstrated knowledge and use of various communication tools/computer software.
Ability to communicate in a professional, friendly and effective manner in a multi-cultural environment.
Demonstrated effective organisational skills and ability to handle work in an efficient and timely manner.
Ability to work in a multi-cultural, with sensitivity and respect for diversity.
Self-starter and ability to work within a team.
Ability to appropriately handle confidential matters.
Fluency in English required.
Working knowledge of Danish would be an asset.

Developing country work experience and/or familiarity with emergency is considered an asset. 

Fluency in English is required. Knowledge of another official UN language (Arabic, Chinese, French, Russian or Spanish) or a local language is an asset.

Their conditions of service will be governed by their contract and the General Conditions of Contracts for the Services of Consultants and Individual Contractors. Consultants and individual contractors are responsible for determining their tax liabilities and for the payment of any taxes and/or duties, in accordance with local or other applicable laws. 

    The selected candidate is solely responsible to ensure that the visa (applicable) and health insurance required to perform the duties of the contract are valid for the entire period of the contract. Selected candidates are subject to confirmation of fully-vaccinated status against SARS-CoV-2 (Covid-19) with a World Health Organization (WHO)-endorsed vaccine, which must be met prior to taking up the assignment. It does not apply to consultants who will work remotely and are not expected to work on or visit UNICEF premises, programme delivery locations or directly interact with communities UNICEF works with, nor to travel to perform functions for UNICEF for the duration of their consultancy contracts.
