Job Description

Responsibilities

Key Responsibilities:

1. Sample Registration & Handling

2. Verify sample details against accompanying documentation upon receipt.

3. Acknowledge and verify Chain of Custody (COC) documents.

4. Check, verify, and scan all documentation received along with the sample and save in respective folder.

5. Ensure Airtable/LIMS records are consistently updated and accurate.

6. Monitor and track all sample movements throughout the workflow.

7. Ensure all verified documentations are saved in the technical folders for reporting.

8. Assign, monitor and manage Zoho Desk tickets, including classification and routing to relevant stakeholders.

9. Coordinate with third-party laboratories and in-house to ensure timely and correct testing of samples.

10. Prepare sample transfer summaries and ensure signed COCs are returned and documented.

11. Pack the samples for dispatch to third-party laboratories.

12. Manage customer communications, including responding to emails, providing sampling guidance, laboratory addresses, and updates on sample, testing, and reporting status.

13. Coordinate with logistics teams for sample movement and delivery.

14. Coordinate with Sales teams to ensure quotation and POs are accurate with the tested samples for the report team to issue the reports.

15. Ensure all test results are received and properly saved in the respective technical folders.

16. Track testing progress and ensure timely completion of analysis.

17. Perform other ad-hoc administrative and operational duties as assigned.

Requirements:

  • Administrative background will be preferred.
  • Experience in laboratory administration or sample handling is an advantage.
  • Familiarity with systems such Zoho Desk is preferred. Training will be provided.
  • Strong attention to detail and organizational skills.
  • Good communication and coordination abilities.
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
  • Work timing: Monday to Friday 9am to 6pm; Saturday 9am to 1pm
  • Education: O Level and above
