Responsibilities

Job Summary

The Admin Assistant – Operations is responsible for providing administrative and operational support to ensure the smooth daily operations of F&B outlets. The role includes managing documentation, preparing reports, coordinating staff records, monitoring inventory documentation, and supporting communication between outlets.

Key Responsibilities Administrative Support

  • Maintain and organize operational documents, records, and filing systems.
  • Prepare correspondence, reports, and feedbacks from customer.
  • Manage incoming and outgoing communications, including emails and phone calls.
  • Assist in scheduling meetings, training sessions, and operational activities.

Operations Support

  • Coordinate with outlet managers on daily operational requirements.
  • Consolidate and prepare daily, weekly, and monthly operational reports.
  • Monitor outlet compliance documents, licenses, and certifications.
  • Assist in tracking maintenance requests and follow up with relevant departments.

Inventory & Procurement Support

  • Maintain records of stock requests, purchase orders, and supplier documentation.
  • Monitor inventory reports and assist in stock reconciliation.
  • Coordinate with suppliers regarding deliveries and documentation.

Staff Administration

  • Maintain employee attendance records and operational manpower reports.
  • Support onboarding documentation for new employees.
  • Assist in coordinating staff uniforms, training records, and other operational requirements.

Data Management & Reporting

  • Update operational databases and spreadsheets accurately.
  • Generate reports related to sales, manpower, inventory, and operational performance.
  • Ensure confidentiality and accuracy of company information.

Compliance & Quality Control

  • Assist in ensuring compliance with company policies, SOPs, food safety, and hygiene standards.
  • Maintain records related to audits, inspections, and regulatory requirements.

Pay: RM2,300.00 - RM2,600.00 per month
