Job Description

Requirements

  • Educational Background: Diploma or degree in Human Resources (HR), Finance, Accounting, or a related field.

  • Work Experience: 1 to 2 years of relevant work experience; experience in advertising agencies, media, or the MCN industry is preferred.

  • Language Skills: Proficient in Mandarin, English, and Bahasa Malaysia (BM). Fluency in Mandarin is essential due to frequent communication with Chinese social media teams and artists; also requires good command of Malay and English for handling government agency affairs, bank interactions, and business correspondence.

  • Software Skills: Proficient in Microsoft Office (especially Excel for report processing) and basic accounting software (such as AutoCount, SQL, or Xero).

  • Professional Knowledge: Basic understanding of Malaysian labor laws, EPF, SOCSO, EIS, and PCB declarations.

  • Personal Qualities: Meticulous, with a strong sense of responsibility, and able to maintain a high level of professional ethics when handling confidential company financial and personnel information.

  • Work Attitude: Able to adapt to the fast-paced, dynamic work environment of a startup company and possess the ability to solve problems independently.

Responsibilities

Administrative Support

  • Responsible for the daily operation and maintenance of the office, including procurement of office supplies, delivery and receipt of couriers, and asset management.

  • Responsible for drafting, typesetting, printing, and digital archiving of company documents, ensuring well-organized materials.

  • Assist the team in coordinating daily meeting schedules and receiving visiting partners or artists.

  • Liaise with property management or suppliers to handle repairs, cleaning, and basic facility issues.

    HR Support

  • Assist in the recruitment process, including publishing job descriptions, screening resumes, and arranging interview appointments.

  • Responsible for employee onboarding and offboarding procedures, maintaining and updating employee personal files.

  • Assist in processing monthly payroll, ensuring accurate calculation of EPF, SOCSO, EIS, and PCB.

  • Record and manage employee attendance, overtime reports, sick leave, and annual leave applications.

    Accounting Support

  • Responsible for daily bookkeeping, including data entry and simple financial reconciliation.

  • Issue sales invoices and follow up on collection progress, ensuring clear records of company cash flow.

  • Review and process employee expense claims, ensuring all expenditures comply with company financial policies.

  • Process supplier payment requests and assist in preparing basic monthly financial statements.

  • Liaise with external auditors, tax advisors, or company secretaries to prepare required statutory documents.
