Job Requirements:
Diploma or Degree in any relevant field.
With own transportation and willing to travel across outlets.
Minimum 2 years working experience in Secretary, Executive Assistant, Personal Assistant, HR, Operations, or related roles.
Proficient in AI tools such as ChatGPT, Claude, Gemini, Copilot, or equivalent platforms.
Strong organizational, communication, and follow-up skills.
Proactive, detail-oriented, and able to work independently.
Able to manage multiple tasks in a fast-paced environment.
Fluent in English and Mandarin (written and spoken) is an added advantage.
Possess a positive attitude, strong sense of responsibility, and willingness to learn.
Responsibilities
Job Scope:
Manage the Director’s calendar, meetings, appointments, and daily priorities.
Prepare meeting agendas, record meeting minutes, and follow up on action items.
Track project timelines, deadlines, and execution progress across departments.
Coordinate communication between the Director and Heads of Departments (HODs).
Prepare reports, presentations, summaries, and business documents.
Maintain proper filing, documentation, SOPs, and company records.
Utilize AI tools (e.g. ChatGPT, Claude, etc.) to improve productivity, research, reporting, and workflow efficiency.
Monitor and report operational issues, project delays, and key updates to the Director.
Support management matters outside normal working hours when required.
Perform other duties and special projects assigned by Management.
