Requirements
Provide administrative support including managing correspondence, scheduling appointments, and maintaining office supplies for a 20-person company.
Assist the HR department with recruitment processes, including posting job openings, screening resumes, and scheduling interviews.
Maintain employee records and ensure confidentiality of sensitive HR information.
Support onboarding and offboarding processes for new and departing employees.
Handle basic payroll processing and employee inquiries related to HR policies and benefits.
Organize and maintain company files, both physical and digital, ensuring easy retrieval of information.
Manage office logistics, including coordinating with vendors and ensuring a well-organized workspace.
Assist with event planning and coordination for company meetings and activities.
Demonstrate strong time management skills to prioritize tasks and meet deadlines effectively.
Exhibit a high level of responsibility and self-motivation in completing assigned duties.
Show a willingness to learn and adapt to new processes and technologies within the administrative and HR functions.
Communicate effectively in English and Bahasa Malaysia, with Mandarin proficiency being a strong asset.
Work independently and collaboratively within a team environment.
Maintain a high degree of confidentiality in all aspects of the role.
Possess a Diploma and 3-5 years of relevant administrative or HR assistant experience.
Responsibilities
Provide administrative support to the HR department, including managing employee records, updating databases, and preparing HR-related documents.
Assist in the recruitment process by posting job advertisements, screening resumes, scheduling interviews, and conducting initial candidate outreach.
Handle day-to-day office operations, such as managing correspondence, answering phone calls, greeting visitors, and maintaining office supplies.
Support the onboarding process for new employees by preparing necessary paperwork, coordinating orientation schedules, and ensuring a smooth integration into the company.
Organize and maintain company files and records, both physical and digital, ensuring confidentiality and easy accessibility.
Assist in coordinating company events, meetings, and travel arrangements for staff.
Help in the preparation and distribution of internal communications and company announcements.
Manage and update the company's HR information system (HRIS) with accurate employee data.
Provide general administrative assistance to other departments as needed, demonstrating flexibility and a willingness to learn new tasks.
Ensure compliance with company policies and procedures in all administrative and HR-related tasks.
