Requirements
Diploma or Bachelor's Degree in Business Administration, Procurement, Supply Chain Management, Management, or a related field.
Minimum 5 years of working experience in Administration, Procurement, Office Management, or related functions, with at least 5 years in a supervisory or team lead role.
Strong knowledge of procurement processes, vendor management, sourcing, quotation evaluation, and purchase order administration.
Experience in managing administrative operations, office facilities, company assets, and documentation control.
Good negotiation, communication, and interpersonal skills with the ability to build and maintain effective relationships with suppliers and internal stakeholders.
Strong leadership skills with experience in leading, coaching, and developing team members.
Excellent organizational and multitasking abilities with strong attention to detail.
Proficient in Microsoft Office applications, especially Excel, Word, and PowerPoint.
Ability to analyze procurement data, prepare reports, and recommend process improvements.
Strong problem-solving skills and ability to work independently with minimal supervision.
Able to prioritize tasks, meet deadlines, and perform effectively in a fast-paced environment.
Knowledge of inventory management and stock control practices will be an added advantage.
Familiarity with ERP systems or procurement software is preferred.
High level of integrity, professionalism, and commitment to maintaining confidentiality.
Willing to undertake ad-hoc duties and support operational requirements as assigned by Management.
Responsibilities
Lead and supervise Admin & Procurement team in daily operations
Delegate tasks, monitor team performance, and ensure work efficiency
Handle overall administrative and office management duties
Manage procurement process including sourcing, quotation comparison, PO issuance, and supplier follow-up
Liaise and negotiate with vendors/suppliers on pricing, delivery, and service matters
Monitor inventory/stock levels and ensure timely replenishment
Ensure proper documentation, filing, and record keeping for procurement and administrative matters
Prepare monthly reports, procurement summaries, and operational documentation
Coordinate office maintenance, company assets, and operational support
Ensure compliance with company policies, SOPs, and procurement procedures
Train and guide team members to improve productivity and work quality
Assist Management in process improvement and operational planning
Handle ad-hoc assignments and support Management when required
