Job Description

Responsibilities

Key Activities / Responsibilities

1. Pre-Tender Stage

· Review tender drawings, specifications, and contract documents before tender submission.

· Prepare quantity take-offs, Bills of Quantities (BQ), and preliminary cost estimations.

· Source quotations from suppliers and subcontractors for pricing comparison and budgeting purposes.

· Conduct market price studies and material cost analysis.

· Evaluate supplier and subcontractor proposals to ensure competitiveness and compliance with project requirements.

· Assist in preparing tender schedules, tender documentation, and commercial submissions.

· Coordinate with Landscape Architects and project teams to ensure tender pricing aligns with design intent and project scope.

· Identify potential commercial risks, cost-saving opportunities, and value engineering alternatives during tender stage.

· Assist in preparing tender clarifications and responses to client queries.

2. Pre-Contract & Quotation Preparation

· Assist Landscape Architects in preparing quotations, purchase orders (PO), and delivery orders (DO) for tender submissions and project proposals.

· Generate and prepare quotations based on approved design proposals and specifications.

· Conduct cost analyses and prepare pre-contract documentation, including tender summaries and supplier/subcontractor sourcing.

· Evaluate price comparisons and prepare costing summaries and tender price breakdowns.

· Identify potential cost overruns and recommend cost-effective alternatives.

· Prepare material take-offs and detailed cost estimations.

· Assist in tender submissions and ensure all required documentation is submitted within deadlines.

3. Contract Administration & Post-Contract Management

· Prepare, review, and negotiate contracts with clients, suppliers, and subcontractors.

· Manage contract correspondence relating to claims, Extension of Time (EOT), and other contractual matters.

· Administer post-contract documentation and maintain proper contractual records.

· Monitor project budgets, expenditures, and financial performance throughout project execution.

· Evaluate subcontractor claims and verify work completion before payment processing.

· Prepare final accounts and project cost reconciliations upon project completion.

4. Progress Claims & Variation Orders (VO)

· Collaborate with Landscape Architects and site teams on progress claims, including site measurements, data collection, and claim submissions.

· Prepare and manage variation orders (VO), project discount structures, and BQ rationalization.

· Assist in preparation of as-built drawings and final account documentation.

· Oversee and value completed works on-site to facilitate contractor and subcontractor progress payments.

· Monitor project changes and assess their financial and contractual impact.

5. Site Supervision & Project Coordination

· Review construction drawings and ensure landscape costing aligns with project budgets.

· Track and manage material requirements to ensure timely delivery and compliance with quality standards.

· Supervise site activities to ensure work is carried out according to project plans, specifications, schedules, and standards.

· Coordinate with consultants, suppliers, subcontractors, and internal teams for smooth project execution.

· Monitor and document changes to project drawings, scope, and budgets.

6. Documentation & Reporting

· Maintain and review purchasing files, reports, price lists, and material specifications.

· Prepare regular cost reports, project status reports, and financial updates for Management.

· Maintain proper documentation and audit trails for all project-related matters.

· Ensure all records are organized and updated accurately.

7. Compliance & Quality Control

· Ensure compliance with client requirements, legal regulations, company policies, and project specifications.

· Ensure all contractual and commercial practices adhere to company standards and procedures.

· Support internal and external audits when required.

8. General Responsibilities

· Prepare and assist in submission of all tender- and project-related documentation and calculations.

· Coordinate with suppliers, subcontractors, consultants, and project teams to ensure efficient project delivery.

· Support Management with any additional duties or assignments as required.

· Continuously improve costing efficiency and commercial management practices.

Job Type: Full-time

Pay: From RM3,500.00 per month
