Job Description

Requirements

  • Primary Requirement:

    • Having knowledge about beauty brands and products.

    • Able to communicate fluently in Mandarin and English/Bahasa Malaysia.

    • Having related background such as Business Management / Marketing / Publicity Relation.

    • At least 2 years of experience in relevant industry, fresh graduates are welcome.

    • Responsible and work well in team.

Responsibilities

1. Project Planning & Coordination

  • Plan, organize, and follow up on company projects from preparation to execution.

  • Coordinate timelines, task lists, deadlines, and responsible persons for each project.

  • Ensure all project requirements are clearly communicated to the relevant teams.

  • Prepare project checklists, trackers, schedules, and progress updates.

2. Event & Campaign Execution

  • Assist in planning and executing retail campaigns, promotional events, community events, product launches, brand activations, and in-store activities.

  • Coordinate event requirements such as venue, setup, suppliers, products, manpower, registration, gifts, POSM, and logistics.

  • Support on-ground execution to ensure events run smoothly.

  • Follow up on post-event reports, photos, results, expenses, and feedback.

3. Cross-Team Communication

  • Work closely with internal teams including marketing, social media, retail, sales, operations, purchasing, and finance.

  • Act as the coordinator between different departments to make sure everyone is aligned.

  • Follow up with team members to ensure tasks are completed according to deadlines.

  • Highlight delays, issues, or risks to management early.

4. Supplier & Partner Management

  • Liaise with suppliers, contractors, printers, designers, brand principals, malls, landlords, and external partners.

  • Request quotations, compare pricing, follow up on production timelines, and ensure delivery quality.

  • Coordinate with vendors for event setup, printing, renovation, fixtures, displays, and other project needs.

5. Documentation & Reporting

  • Prepare meeting notes, project updates, reports, proposals, and presentation materials when needed.

  • Maintain proper filing of quotations, invoices, project documents, approvals, and agreements.

  • Track project progress, expenses, deliverables, and completion status.

6. Retail & Store Project Support

  • Support store-related projects such as new store setup, kiosk planning, pop-up booths, retail displays, shelf setup, POSM installation, and merchandising projects.

  • Coordinate with mall management, contractors, retail team, and suppliers for store-related execution.

  • Ensure store project details are followed according to brand direction and timeline.

7. Problem Solving & Ad-Hoc Support

  • Assist in solving project issues quickly and effectively.

  • Support management with ad-hoc tasks, urgent projects, and business development matters.

  • Be hands-on when needed, especially during event days, setup days, or campaign launches.
