Job Description

Requirements

  • Diploma in Human Resources, Business Administration, or a related field.

  • Minimum of 3 years of relevant experience in an HR support role.

  • Proficiency in HR software and MS Office Suite (Word, Excel, PowerPoint).

  • Strong understanding of Malaysian labor laws and HR best practices.

  • Excellent organizational and time management skills.

  • Effective communication and interpersonal skills.

  • Ability to handle confidential information with discretion.

  • Knowledge of:

    • Malaysian Employment Act 1955

    • Industrial Relations Act

    • Immigration procedures for foreign workers

    • FOMEMA and permit renewal processes

  • Experience handling foreign worker permit applications and renewals is preferred.

  • Proficient in Microsoft Office (Excel, Word, PowerPoint).

  • Good communication and interpersonal skills.

  • Strong organizational and documentation skills.

  • Able to handle confidential information professionally.

  • Problem-solving and conflict resolution.

  • Ability to work with government authorities and external agencies.

  • Attention to detail and deadline management.

  • Ability to manage multiple permit renewal schedules simultaneously.

Responsibilities

  • Assist in the recruitment process, including posting job ads, screening resumes, and scheduling interviews.

  • Maintain employee records and update HR databases with new hire information, changes, and terminations.

  • Support the onboarding process for new employees, including preparing orientation materials and conducting initial HR paperwork.

  • Coordinate HR-related training programs and workshops.

  • Assist with the administration of employee benefits and compensation programs.

  • Respond to employee inquiries regarding HR policies, procedures, and benefits.

  • Help organize company events and employee engagement activities.

  • Manage foreign worker permit applications, renewals, cancellations, and endorsements.

  • Liaise with government agencies such as:

    • Immigration Department Malaysia (JIM)

    • Ministry of Human Resources (MOHR)

    • MYEG

    • FOMEMA

    • ESD (if applicable)

  • Monitor permit expiry dates and ensure timely renewals.

  • Coordinate medical examinations, insurance, and levy payments.

  • Maintain accurate records of foreign workers' passports, permits, and employment documents.

  • Ensure compliance with Malaysian labor laws and immigration regulations.

  • Coordinate hostel accommodation and transportation arrangements when required.
