Job Summary
The Admin Assistant is responsible for providing administrative and clerical support to ensure smooth daily office operations. The role includes handling documentation, data entry, coordination, filing, and assisting various departments with administrative tasks.
Key Responsibilities
Administrative Support
Perform daily administrative and clerical duties.
Prepare, organize, and maintain documents, records, and filing systems.
Handle data entry and ensure accuracy of company records.
Manage incoming and outgoing correspondence, emails, and courier services.
Assist in preparing reports, letters, memos, and other documents.
Office Coordination
Answer phone calls, screen inquiries, and direct them to the appropriate personnel.
Coordinate meetings, appointments, and company events.
Maintain office supplies inventory and arrange replenishment when necessary.
Ensure proper maintenance of office equipment and facilities.
Documentation & Record Management
Maintain employee, supplier, and company records systematically.
Assist in preparing and updating company forms, policies, and procedures.
Ensure confidentiality and security of company information and documents.
Purchasing & Inventory Support
Assist in sourcing and purchasing office supplies and operational necessities.
Monitor stock levels of office consumables.
Coordinate with suppliers regarding orders, deliveries, and invoices.
Coordination & Communication
Liaise with internal departments and external parties when required.
Support management with administrative tasks and special projects.
Follow up on pending matters and ensure timely completion of assigned tasks.
Compliance
Ensure proper documentation and record retention in accordance with company policies.
Adhere to company rules, procedures, and confidentiality requirements.
