Penerangan Kerja

Kelayakan

Providing administrative, secretarial, and coordination support to the Director. The role includes managing schedules, handling documentation, coordinating meetings, monitoring correspondence, and assisting with document control processes including Purchase Order (PO) and Delivery Order (DO) matching.

Tanggungjawab

1. Executive & Administrative Support

  • Manage and maintain the Director's daily schedule, appointments, meetings, and travel arrangements.

  • Arrange and coordinate internal and external meetings, including preparation of meeting materials and meeting minutes where required.

  • Manage incoming calls, emails, correspondence, and visitors on behalf of the Director.

  • Follow up on tasks, deadlines, and action items assigned by the Director.

  • Maintain strict confidentiality of company and Director-related information.

2. Documentation & Record Management

  • Assist the Director and Management in preparing, compiling, filing, and maintaining company documents.

  • Organise and maintain proper records of contracts, agreements, project documents, correspondence, and company files.

  • Ensure all documents are properly filed and easily retrievable.

  • Assist in preparing reports, presentations, letters, and other administrative documents as required.

3. Purchase Order (PO) & Delivery Order (DO) Administration

  • Match and verify Purchase Orders (PO), Delivery Orders (DO), invoices, and supporting documents.

  • Follow up with suppliers, site personnel, and relevant departments for outstanding or missing documents.

  • Ensure supporting documents are complete before submission for payment processing.

  • Maintain proper records and filing of procurement and project-related documents.

4. Coordination & Communication

  • Liaise with clients, suppliers, contractors, consultants, government authorities, and internal departments as directed by the Director.

  • Coordinate and monitor assignments and projects delegated by the Director.

  • Assist in organising company meetings, events, and management activities.

5. General Duties

  • Provide administrative and operational support to the company as required.

  • Perform any other duties assigned by the Director or Management from time to time.
