Responsibilities

Job Summary

The HR Assistant is responsible for supporting the Human Resources department in recruitment, employee attendance management, leave administration, and maintaining accurate employee records. The role ensures HR processes are carried out efficiently and in compliance with company policies and applicable labour regulations.

Key Responsibilities

1. Recruitment & Onboarding

  • Assist in posting job advertisements on recruitment platforms.
  • Screen resumes and shortlist suitable candidates.
  • Arrange interviews and coordinate interview schedules.
  • Communicate with candidates regarding interview appointments and recruitment status.
  • Prepare employment documents, including offer letters and employment contracts.
  • Coordinate new employee onboarding and orientation.
  • Maintain recruitment records and employee personal files.

2. Attendance Management

  • Monitor daily employee attendance and punctuality.
  • Verify clock-in and clock-out records.
  • Follow up on missing attendance records with employees and department supervisors.
  • Prepare monthly attendance reports.
  • Ensure attendance records are accurate before payroll processing.

3. Leave Administration

  • Process and maintain records for:
  • Annual Leave (AL)
  • Sick Leave (MC)
  • Hospitalisation Leave
  • Emergency Leave
  • Unpaid Leave (UL)
  • Maternity, Paternity, and other statutory leave (where applicable)
  • Verify supporting documents such as medical certificates.
  • Update employee leave balances.
  • Monitor leave entitlements and notify management of excessive leave usage.

4. Overtime (OT) Administration

  • Collect and verify overtime claim forms.
  • Ensure overtime is properly approved by department heads.
  • Maintain accurate overtime records.
  • Prepare monthly overtime summaries for payroll processing.

5. Employee Records Management

  • Maintain complete and updated employee personnel files.
  • Update employee information, including personal details, employment status, and contract renewals.
  • Ensure HR documents are properly filed and kept confidential.

6. HR Administration

  • Assist with employee confirmation, probation reviews, transfers, resignations, and termination documentation.
  • Prepare HR letters and internal correspondence.
  • Assist in preparing monthly HR reports.
  • Support company disciplinary and grievance procedures when required.
  • Assist with HR audits and compliance documentation.

7. Payroll Support

  • Prepare attendance, leave, overtime, and unpaid leave records for payroll processing.
  • Ensure all payroll-related HR information is accurate and submitted on time.
  • Assist in resolving payroll discrepancies related to attendance and leave records.

8. General Duties

  • Respond to employee enquiries regarding attendance and leave matters.
  • Ensure compliance with company policies and employment laws.
  • Perform any other HR or administrative duties assigned by management.

Requirements Education

  • Diploma or Bachelor's Degree in Human Resource Management, Business Administration, or a related field.

Experience

  • Minimum 1–2 years of HR or administrative experience.
  • Fresh graduates with strong administrative skills are encouraged to apply.

Pay: From RM1,700.00 per month
