Requirements

  • High school diploma or equivalent (SPM or 'O' Level) is required.

  • Previous administrative or clerical experience is not necessary; this is an entry-level position ideal for fresh graduates.

  • Proficiency in both written and spoken English and Bahasa Malaysia is essential for daily operations and communication.

  • Ability to communicate effectively in Mandarin is a significant advantage, given the company's diverse clientele and potential international interactions.

  • Basic computer literacy, including familiarity with Microsoft Office Suite (Word, Excel, Outlook), is expected for managing documents, emails, and basic data entry.

  • Strong organizational skills and attention to detail are crucial for managing schedules, filing systems, and ensuring accuracy in administrative tasks.

Responsibilities

  • Greet and direct visitors, clients, and vendors to the appropriate personnel or department.

  • Answer and direct phone calls, manage incoming and outgoing mail, and handle general inquiries via email and phone.

  • Maintain and organize office filing systems, both physical and digital, ensuring accuracy and accessibility of documents.

  • Assist with scheduling appointments, managing calendars, and coordinating meeting logistics, including room bookings and refreshments.

  • Provide general administrative support to various departments, including data entry, document preparation, and basic research.

  • Manage office supplies inventory, place orders as needed, and ensure the office environment is tidy and well-maintained.

  • Handle basic bookkeeping tasks, such as processing invoices, expense reports, and maintaining petty cash.

  • Support the team with ad-hoc administrative tasks as required, demonstrating flexibility and a willingness to learn.
