Diploma or Bachelor's Degree in Accounting, Finance, Business Administration, Management, or a related field.
Minimum 2–5 years of experience as an Executive Assistant, Personal Assistant, Management Executive, or similar role.
Strong understanding of accounting principles and financial reporting.
Excellent organizational, multitasking, and time management skills.
Strong analytical and problem-solving abilities.
High level of integrity and ability to maintain confidentiality.
Excellent written and spoken English; Mandarin and/or Bahasa Malaysia will be an added advantage.
Proficient in Microsoft Office (Excel, Word, PowerPoint) and Google Workspace.
Experience with accounting software (e.g., SQL, AutoCount, UBS, Xero, QuickBooks, or similar) is an advantage.
Able to work independently and under pressure in a fast-paced environment.
Willing to relocate to different company branches based on business needs.
Responsibilities
We are looking for a highly organized, proactive, and trustworthy Executive Assistant to provide comprehensive support to the Director. The ideal candidate should possess strong accounting knowledge, business management skills, and excellent communication abilities to assist in daily operations, financial monitoring, strategic planning, and executive administration.
Key Responsibilities
Executive Support
Manage the Director's daily schedule, appointments, meetings, and travel arrangements.
Prepare meeting agendas, minutes, reports, and presentation materials.
Handle confidential documents and sensitive business information with discretion.
Act as the primary liaison between the Director and internal/external stakeholders.
Follow up on pending tasks and ensure timely completion.
Accounting & Finance
Monitor company cash flow, budgets, and financial reports.
Review expenses, invoices, reimbursements, and payment schedules.
Liaise with the Finance/Accounts department regarding financial matters.
Prepare financial summaries and management reports for the Director.
Assist in cost analysis and identify opportunities for cost optimization.
Ensure proper documentation and filing of financial records.
Business Management
Monitor departmental KPIs and operational performance.
Coordinate cross-department projects and ensure deadlines are met.
Assist in business planning, strategic initiatives, and performance tracking.
Conduct market research and competitor analysis when required.
Prepare business proposals and operational reports.
Administration
Draft professional correspondence, letters, and official documents.
Organize company meetings and coordinate follow-up actions.
Maintain organized filing systems for both digital and physical documents.
Assist in HR, procurement, or administrative tasks when required.
Perform any other duties assigned by the Director.
