Position: Assistant Manager, Freight Department
Reports To: Chief Operating Officer
Job Purpose
To oversee and manage the daily operations of the Freight Department, ensuring efficient coordination of import, export, customs clearance, transportation and customer service activities. The Assistant Manager, Freight is responsible for maintaining operational excellence, developing business opportunities, ensuring regulatory compliance and leading the freight team to achieve departmental objectives.
Key Responsilbilities
1. Freight Operation
- Supervise and coordinate daily freight forwarding operations for air, sea, and land shipments.
- Ensure shipments are executed accurately and delivered within agreed timelines.
- Monitor shipment status and resolve operational issues promptly.
- Coordinate with internal departments to ensure smooth cargo movement.
- Ensure proper documentation for all freight transactions.
2. Customer Service
- Maintain strong relationships with customers by providing timely updates and professional support.
- Handle customer enquiries, complaints, and shipment exceptions.
- Ensure service quality meets company standards and customer expectations.
- Conduct regular customer follow-ups to improve satisfaction and retention.
3. Business Development Support
- Assist in identifying new business opportunities.
- Support the preparation of quotations and service proposals.
- Participate in customer visits and business meetings.
- Maintain relationships with existing customers to encourage repeat business.
4. Vendor & Carrier Management
- Liaise with shipping lines, airlines, transporters, customs brokers, and other service providers.
- Negotiate freight rates and service agreements where authorized.
- Evaluate vendor performance and recommend improvements.
- Ensure competitive pricing while maintaining service quality.
5. Team Leadership
- Supervise and guide Freight Executives and support staff.
- Allocate work effectively and monitor productivity.
- Coach and mentor team members.
- Conduct performance evaluations and recommend training needs.
- Foster teamwork and continuous improvement within the department.
6. Compliance & Documentation
- Ensure compliance with Malaysian Customs regulations and other relevant laws.
- Maintain accurate shipment records and documentation.
- Ensure adherence to company SOPs and ISO requirements (if applicable).
- Support internal and external audits.
7. Financial & Cost Control
- Monitor departmental expenses.
- Review freight costs and profitability.
- Verify billing accuracy before invoicing.
- Assist Finance in resolving billing discrepancies.
8. Reporting
- Prepare operational and management reports.
- Monitor departmental KPIs.
- Analyze operational performance and recommend improvements.
- Present updates during management meetings when required.
9. Continuous Improvement
- Identify process improvement opportunities.
- Recommend automation and digital solutions.
- Participate in company improvement initiatives.
- Ensure operational efficiency and service excellence.
10. Other Duties
- Perform any other duties assigned by Management from time to time.
Pay: RM3,800.00 - RM4,500.00 per month
