Job Description

Requirements

  • Provide comprehensive administrative support to the management team and other departments, including managing correspondence, scheduling meetings, and preparing documents.

  • Maintain and organize company records, both physical and digital, ensuring accuracy and easy retrieval of information.

  • Manage office supplies inventory, place orders as needed, and ensure the office environment is well-maintained and organized.

  • Assist with travel arrangements, including booking flights, accommodations, and preparing itineraries for staff.

  • Handle incoming and outgoing mail and deliveries, and manage the company's general phone line, directing calls appropriately.

  • Support event planning and coordination for company meetings, workshops, and other internal or external events.

  • Perform data entry and update databases with accurate information, ensuring data integrity for reporting purposes.

  • Collaborate with team members to ensure smooth day-to-day operations and contribute to a positive work environment.

  • Utilize strong organizational and time management skills to prioritize tasks and meet deadlines effectively in a fast-paced environment.

  • Demonstrate excellent communication skills, both written and verbal, with the ability to interact professionally with internal staff and external stakeholders.

  • Apply meticulous attention to detail in all tasks, from document preparation to record keeping, to ensure high-quality output.

  • Leverage problem-solving abilities to address administrative challenges and find efficient solutions.

  • May required travel for business trip but very rare.

Responsibilities

  • Provide comprehensive administrative support to the management team, including managing calendars, scheduling meetings, and coordinating travel arrangements.

  • Handle incoming and outgoing communications, including answering phone calls, screening emails, and managing correspondence with professionalism and efficiency.

  • Maintain and organize office records, files, and databases, ensuring accuracy, confidentiality, and easy retrieval of information.

  • Assist with the preparation of reports, presentations, and other documents, utilizing strong data entry and proofreading skills.

  • Manage office supplies inventory, place orders, and ensure the smooth operation of office equipment.

  • Serve as a point of contact for internal and external stakeholders, addressing inquiries and directing them to the appropriate personnel.

  • Support the HR department with basic administrative tasks, such as onboarding paperwork and employee record management.

  • Coordinate and assist with the planning and execution of company events and meetings.

  • Implement and maintain efficient office management systems and procedures.

  • Proactively identify and resolve administrative issues, demonstrating strong problem-solving abilities and attention to detail.
