Requirements
Diploma or Degree in Law, Legal Studies, Business Administration or related field.
2–4 years' experience as legal admin, legal executive, paralegal or company secretarial assistant.
Working knowledge of Malaysian contract law, the Companies Act 2016 and licensing processes.
Strong written English and Bahasa Malaysia; able to draft formal letters.
Highly organised, detail-focused, and able to keep matters strictly confidential.
Familiar with Malaysian court procedure (Magistrates', Sessions and High Court) and court e-filing; litigation clerk or paralegal experience preferred.
Valid driving licence and own transport; able to attend courts across the Klang Valley and outstation when needed.
Proficient in MS Word, Excel and PDF tools; familiarity with e-filing portals is a plus.
Responsibilities
During meetings
Attend meetings with the Director, whether at the office, client sites, agencies or outstation.
Take minutes covering attendees, discussion points, decisions, and action items with an owner and due date.
Flag any legal, contractual or financial commitments to the Director and the Legal Admin.
After meetings (execution)
Send draft minutes to the Director within 24 hours, and final minutes to attendees once approved.
Keep a master Action Tracker showing each item, its owner, due date and status.
Chase owners before deadlines and escalate overdue items.
Personally complete tasks the Director assigns: letters, emails, quotations, bookings and submissions.
Send a weekly summary every Friday listing items done, items overdue and what's coming next week.
General support
Screen calls, emails and visitors, and handle routine matters directly.
Arrange local and overseas travel.
Handle the Director's confidential correspondence and filing.
Collect reports and updates from department heads.
Contracts and agreements
Draft and review agreements, quotations, letters of award, NDAs and service contracts from templates.
Flag risky terms (scope, payment, penalties, termination, liability) before signing.
Keep a contract register with parties, value, dates, renewal and notice periods.
Arrange LHDN stamping on time.
Licensing and compliance
Renew all licenses and permits (KPKT, local council, DOE, DOSH, CIDB) before they expire.
Handle SSM matters with the company secretary: annual returns, resolutions, and changes in directors or shares.
Prepare documents for applications, audits and inspections.
Keep HIRARC, permit-to-work and safety records on file.
Disputes and legal matters
Keep a complete file for each dispute.
Draft letters of demand, reminders and replies for the Director's approval.
Brief external lawyers, and track hearing dates and legal costs.
Pass unpaid debts into the debt recovery process.
Court attendance
Attend mentions, case management, hearings and trials, with or on behalf of the Director.
File and collect court documents, including e-filing, and pay court fees.
Represent the company in Small Claims or Magistrates' Court where an authorised officer is allowed.
Prepare case bundles and exhibits, and brief company witnesses.
Report outcomes and next dates within 24 hours, and track all court deadlines.
Debt recovery (full ownership)
Own all recovery from the first reminder to settlement or judgment.
Keep a debtor register showing amount, days overdue, action taken and status.
Issue reminders, final notices and letters of demand on time.
Negotiate with debtors and prepare settlement or instalment agreements for approval.
Gather evidence: contracts, POs, DOs, invoices, statements and correspondence.
File Small Claims, or brief lawyers on larger claims through to judgment.
Follow up on enforcement after judgment with the lawyers.
Keep all recovery work within the law and license conditions, with no harassment.
Report monthly on amounts outstanding and recovered, aging, and cases recommended for write-off or legal action.
Tenders and records
Prepare legal and corporate documents for tenders.
Keep secure physical and digital legal files.
Send a monthly compliance report covering expiries, disputes and pending contracts.
