Job Charter
We are seeking an experienced and detail-oriented Secretarial Manager to lead and oversee the firm’s Corporate Secretarial Services department.
The successful candidate will be responsible for managing the full spectrum of company secretarial functions, ensuring statutory compliance, supervising client portfolios, leading a team of secretarial executives, and supporting the growth and development of the corporate secretarial practice.
This role requires a strong balance of regulatory expertise, operational leadership, client service capability and commercial awareness within a professional services environment.
Key Responsibilities
1. Department Leadership & Operational Oversight
• Lead and manage the Corporate Secretarial Services department, ensuring efficient and compliant service delivery.
• Oversee day-to-day operations including incorporation, statutory filings, corporate changes and ongoing compliance matters.
• Allocate workload, supervise execution and ensure timely delivery of all secretarial services.
• Establish and maintain standard operating procedures for the department.
2. Statutory Compliance & Regulatory Management
• Ensure compliance with the Companies Act and all relevant regulatory requirements applicable to corporate secretarial practice.
• Oversee statutory filings, annual returns, resolutions and maintenance of statutory records.
• Provide guidance on corporate governance requirements and best practices.
• Liaise with regulatory bodies and relevant authorities as required.
3. Client Portfolio Management
• Manage a portfolio of corporate clients across various industries.
• Serve as the primary point of contact for company secretarial matters.
• Advise clients on compliance obligations, corporate structuring and governance requirements.
• Ensure high levels of client satisfaction through responsive and accurate service delivery.
4. Team Leadership & Capability Development
• Lead, mentor and develop a team of secretarial executives and assistants.
• Conduct performance reviews, training and capability-building initiatives.
• Support recruitment and onboarding of new team members as the practice grows.
• Foster a culture of accuracy, accountability and client service excellence.
5. Practice Growth & Business Development
• Support growth of the corporate secretarial practice through client retention and expansion.
• Identify opportunities for cross-selling services such as accounting, tax and advisory.
• Participate in client engagement activities and relationship development initiatives.
• Contribute to practice development initiatives and service enhancements.
6. Process Improvement & Digitalisation
• Drive improvements in secretarial workflows, documentation processes and service efficiency.
• Support the adoption of digital corporate secretarial systems and automation tools & work with central digitization team
• Enhance turnaround time, accuracy and scalability of service delivery.
• Contribute to continuous improvement of departmental processes.

Requirements
Professional Qualifications
• Bachelor’s Degree in Business Administration, Law, Accounting or related discipline.
• Professional qualification in corporate secretarial practice or governance preferred.
• Membership with relevant professional bodies such as company secretarial institutes or governance associations is an advantage.
Experience
• 5–8 years of experience in corporate secretarial practice, preferably within a professional services firm.
• Proven experience managing a corporate secretarial team and client portfolio.
• Strong knowledge of Malaysian company law, compliance requirements and regulatory frameworks.
• Experience in client-facing advisory or practice management roles is preferred
