Job Description

Responsibilities

Job Summary

The HR Generalist is responsible for supporting and managing day-to-day human resources operations, with a primary focus on Employee Relations (ER), Industrial Relations (IR), statutory compliance, HR policies, and employee engagement matters. This role will also assist in maintaining HR documentation, handling HRDF matters, liaising with government authorities, and supporting payroll administration when required.


Key Responsibilities


Employee Relations (ER) & Industrial Relations (IR)

• Handle employee relations matters, including employee grievances, disciplinary issues, counselling, and conflict resolution. 

• Support domestic inquiry processes, warning letters, show-cause letters, and other disciplinary documentation. 

• Ensure company practices comply with Malaysian Employment Act and labour regulations. 

• Liaise with relevant government authorities such as JTK, KWSP, PERKESO, and HRD Corp when necessary. 

• Provide guidance to employees and managers on HR policies and procedures. 


HR Policies & Compliance

• Maintain and update the employee handbook, HR policies, and SOPs in accordance with company requirements and labour laws. 

• Ensure HR practices are compliant with statutory and regulatory requirements. 

• Assist in developing and implementing HR initiatives and best practices. 


HR Administration

• Maintain accurate employee records and HR documentation. 

• Prepare HR letters and employment-related documents including confirmation, transfer, promotion, and disciplinary letters. 

• Monitor probation confirmation and contract renewal processes. 

• Support onboarding and offboarding activities. 


HRDF & Training Coordination

• Manage HRDF-related matters including grant applications, claims submissions, and training records. 

• Coordinate employee training and development programs. 

• Maintain training attendance and related documentation. 


Payroll Support

• Provide support in payroll administration including attendance checking, leave verification, overtime review, and payroll data preparation. 

• Coordinate with payroll vendors or internal payroll personnel to ensure accurate payroll processing. 


Other Responsibilities

• Support employee engagement activities and company events. 

• Assist in HR reporting and audits when required. 

• Perform other ad-hoc HR duties assigned by management. 


Requirements

• Diploma or Degree in Human Resource Management, Business Administration, or related field. 

• Minimum 2–5 years of relevant HR generalist experience. 

• Strong knowledge of Malaysian Employment Act, IR/ER practices, and statutory requirements. 

• Experience in handling JTK and HRDF matters is preferred. 

• Basic knowledge of payroll processes will be an added advantage. 

• Good communication, interpersonal, and problem-solving skills. 

• Able to handle confidential information with professionalism. 

• Proficient in Microsoft Office applications.
