Role Overview
The Program Manager is responsible for the end-to-end operational delivery of the programme. This is a high-
execution role that demands strong organisational rigour, clear communication across diverse stakeholder groups,
and the ability to manage multiple concurrent workstreams without losing oversight.
The Program Manager leads institutional outreach — initiating and sustaining relationships with government
education offices, schools, and external partners — while simultaneously overseeing field operations, milestone
compliance, and all formal reporting obligations. The role requires someone who is self-directed, detail-oriented,
and comfortable representing the organisation professionally in external settings.
Key Responsibilities
Outreach & Stakeholder Management
- Lead outreach to government education offices, secondary schools, and institutional partners — from first
contact through to onboarding and ongoing relationship management.
- Draft and send formal correspondence including official letters, programme briefs, and follow-up
communications in both Bahasa Malaysia and English.
- Build and maintain strong working relationships with district education officers, school principals, and partner
organisations throughout the programme year.
- Coordinate speaker outreach — initial approach, briefing, scheduling, and pre-session logistics for a series of
distinguished speakers.
Programme Operations
- Manage the weekly field team schedule across a network of schools in Selangor — including facilitator
deployment, school visit calendars, and logistics.
- Track all programme milestones and deliverables, ensuring submissions are completed accurately and on time.
- Oversee platform usage and reporting — monitoring session logs, attendance records, and submission data on
an ongoing basis.
- Coordinate the logistics of programme events, including a public launch ceremony, mid-year review sessions, a
student event, and a closing ceremony.
Reporting & Documentation
- Prepare structured programme reports at regular intervals — including activity reports, speaker series
summaries, and a comprehensive final report.
- Maintain organised documentation across all programme components: facilitator records, school
correspondence, event notes, and approval logs.
- Support the Program Director in preparing materials for stakeholder presentations and institutional sign-offs.Skills & Qualifications
Communication
- Exceptional written communication — able to produce clear, professional letters, reports, and programme
documents in both Bahasa Malaysia and English.
- Confident verbal communicator — comfortable presenting to government officials, school administrators, and
community leaders.
- Strong interpersonal skills with the ability to build trust across diverse stakeholder groups with varying
institutional cultures.
Outreach & Relationship Management
- Proven ability to initiate and sustain institutional relationships — comfortable making first contact, following up
assertively, and managing long-term partnerships.
- Experienced in navigating formal government or institutional communication channels, particularly in the
Malaysian public education ecosystem.
- Able to represent an organisation professionally and credibly in external-facing settings.
Programme & Project Management
- Highly organised — able to manage multiple concurrent workstreams, track deadlines, and escalate issues
before they become problems.
- Experience coordinating field teams or distributed staff, with an understanding of on-ground operational realities.
- Comfortable working with programme management tools, shared documents, and data tracking systems.
Personal Attributes
- Self-directed and proactive — takes initiative without needing to be told.
- High attention to detail, especially in correspondence, scheduling, and reporting.
- Resilient and adaptable — able to manage ambiguity and adjust quickly when plans change.

Qualifications
- Bachelor's degree in any field. Relevant experience is weighted equally.
- 2–4 years of experience in programme management, stakeholder engagement, or a related field.
- Prior experience in the education sector, civil society, or government-adjacent work is an advantage.
- Strong command of Bahasa Malaysia and English — both written and spoken.
