This is a full-time, permanent role based in Kuala Lumpur for our legal firm client in Sydney, Australia.
Reports To: Managing Partners
Direct Reports: Reception, Accounts/Bookkeeper, Administration Staff, Office Support Staff where applicable.
Position Purpose
The Finance and Administration Manager is responsible for the firm’s financial control systems, operational administration, reporting discipline, billing processes, compliance coordination, and office management.
The role exists to improve profitability, cashflow discipline, operational efficiency, and management reporting across the firm.
The position is operational and commercial, not merely bookkeeping.
Key Objectives:
- Improve firm profitability and cashflow.
- Maintain strict billing and trust accounting discipline.
- Produce accurate weekly and monthly financial reporting.
- Reduce lockup and debtor days.
- Improve operational efficiency and staff accountability.
- Support scalable growth from boutique practice to structured firm; and
- Reduce administrative burden on partners.
Core Responsibilities
Financial Management
- Oversee daily financial operations of the firm.
- Manage accounts payable and receivable.
- Monitor trust accounting compliance.
- Supervise billing and collections processes.
- Manage payroll coordination.
- Monitor cashflow and working capital.
- Prepare weekly cashflow reports.
- Prepare monthly management accounts.
- Assist with budgeting and forecasting.
- Liaise with external accountant and bookkeeper.
- Monitor ATO obligations and payment plans; and
- Maintain financial controls and approval processes.
Billing and WIP Control
- Oversee monthly billing cycle.
- Monitor WIP across all lawyers.
- Ensure timely invoicing.
- Monitor aged debtors.
- Enforce trust replenishment policies.
- Coordinate weekly WIP review meetings.
- Track write-offs and discounts.
- Report on collection rates and lockup; and
- Implement billing KPIs.
Management Reporting
1. Prepare weekly reporting dashboard including:
- Fees billed, collected, trust balances, WIP, debtors, lockup days, revenue per fee earner, conversion rates and cash at bank.
2. Prepare monthly reports including:
- Profit and loss, budget variance, revenue by lawyer, matter profitability, marketing ROI, salary ratios and overhead analysis
Operations and Administration
- Oversee office administration systems.
- Manage supplier relationships and contracts.
- Supervise reception and administration staff.
- Coordinate onboarding and offboarding.
- Maintain operational policies and procedures.
- Coordinate IT and software providers.
- Assist with HR administration.
- Manage facilities and office operations; and
- Coordinate compliance obligations and renewals.
Systems and Process Improvement
- Implement operational systems and workflows.
- Improve administrative efficiency.
- Standardise reporting procedures.
- Assist with practice management software optimisation.
- Improve document and file management processes.
- Assist with automation initiatives; and
- Monitor operational KPIs.
Compliance and Risk Management
- Assist with Law Society compliance requirements.
- Assist with trust account compliance.
- Coordinate insurance renewals.
- Maintain internal policies and procedures.
- Support audit preparation; and
- Monitor risk management systems.
Experience Required
- Minimum 5 years in legal finance or professional services management.
- Experience in legal billing and trust accounting.
- Experience managing office administration.
- Strong financial reporting capability.
- Experience with practice management systems; and
- Experience in law firm operations preferred.
Skills Required

- Advanced Excel and reporting capability.

Preferred software experience
Xero, LEAP, MYOB, Excel reporting dashboards and Trust accounting systems.
