Job Summary
We are seeking a responsible and detail-oriented Admin Assistant to handle sales submission, motorcycle registration (e-Daftar), insurance claims, JPJ documentation, and Yamaha sales claim processes. The candidate must be organized, able to meet deadlines, and familiar with accounting and documentation systems.
Key Responsibilities
1. Sales Submission & Documentation
- Prepare and submit complete sales documents to relevant departments and financiers
- Ensure accuracy and completeness of customer and vehicle details
- Maintain proper filing (physical & digital) of sales records
2. e-Daftar Motorcycle Registration (JPJ)
- Perform motorcycle registration via e-Daftar system
- Liaise with JPJ for registration, transfer of ownership, and related matters
- Ensure road tax and registration documents are processed accurately and on time
3. Insurance & Claims Handling
- Process motorcycle insurance submissions and renewals
- Follow up on insurance claims and documentation
- Liaise with insurance companies for approval and claim status
4. Yamaha Sales Claim
- Prepare and submit Yamaha sales claims within the stipulated timeline
- Ensure supporting documents are complete and compliant with Yamaha requirements
- Monitor claim approval and reconciliation
5. System & Reporting
- Key in sales data into SQL Accounting System
- Generate reports using Excel
- Prepare letters and documentation using Microsoft Word
- Maintain accurate database and update records regularly
6. General Administrative Duties
- Handle daily administrative tasks assigned by management
- Coordinate with sales team, finance department, and external parties
- Ensure proper document control and compliance
Job Requirements
- Minimum SPM / Diploma in Business Administration, Accounting or related field
- Proficient in SQL Accounting Software
- Good working knowledge of Microsoft Excel & Microsoft Word
- Familiar with JPJ e-Daftar system (added advantage)
- Detail-oriented, responsible, and able to meet deadlines
- Good communication and coordination skills
- Able to work 6 days per week
