JOB DESCRIPTION
1. Administrative Functions
- Perform daily administrative tasks including filing, documentation, and data entry
- Maintain and organize company records, ensuring accuracy and easy accessibility
- Coordinate office activities and support overall office operations
- Manage correspondence, emails, appointments, and scheduling
2. Finance and Accounting Support
- Assist in the preparation of invoices, quotations, and purchase orders
- Handle accounts payable (AP) and accounts receivable (AR) processes
- Monitor and record daily financial transactions and expenses
- Support monthly closing, reporting, and account reconciliation
- Ensure all financial records are properly documented and comply with internal procedures
3. Coordination and Reporting
- Prepare administrative and financial reports as required by management
- Liaise with internal departments, vendors, and external parties
- Assist in audit preparation and ensure all supporting documents are in order
4. Accounting System (UBS)
- Maintain and manage financial records using the UBS accounting system
- Ensure accurate data entry for invoices, payments, and other financial transactions
- Generate basic financial reports from the system when required
- Update and monitor accounts payable and receivable records
- Ensure all financial data is properly recorded and supported with relevant documentation
5. Payroll & HR System (HR2000 / iPayroll)
- Assist in payroll processing using HR2000 / iPayroll system
- Maintain and update employee payroll information accurately
- Ensure attendance, overtime, and leave records are properly captured in the system
- Verify payroll details before final submission to ensure accuracy
- Maintain proper documentation of payroll and HR-related records for audit purposes
- Support basic HR administrative functions including employee records and documentation
Qualifications
- Minimum Diploma / Degree in Accounting, Finance, Business Administration or related field
- Fresh graduates are encouraged to apply
Experience & Knowledge
- Basic knowledge of accounting principles (AP, AR, invoicing, etc.)
- Experience in UBS Accounting System is an advantage
- Experience in HR systems such as HR2000 / iPayroll is an added advantage
- Familiar with Microsoft Office (Excel, Word, Outlook)
Pay: RM1,700.00 - RM2,500.00 per month
