JOB OVERVIEW:
The Administrative Officer is responsible for providing comprehensive administrative and operational support to ensure the smooth running of the organisation. This role supports daily office operations and plays a key role in coordinating and managing matters related to the Department of Skills Development (DSD/JPK) and the Skills Development Fund Corporation (PTPK), ensuring full compliance with regulatory, accreditation, and funding requirements.
JOB RESPONSIBILITIES:
- Manage official correspondence and maintain systematic filing of physical and digital documents.
- Prepare periodic operational and administrative reports (weekly/monthly).
- Manage meeting schedules, prepare minutes of meetings, and follow up on action items.
- Maintain and update records of staff, trainees/students, and office inventory.
- Manage and coordinate documentation for accreditation of training programmes under the Department of Skills Development (JPK).
- Prepare, update, and properly file relevant documents, including JPK.
- Assist in applications, renewals, and monitoring of JPK Accredited Centre status.
- Ensure compliance with all applicable JPK guidelines, Standard Operating Procedures (SOPs), and circulars.
- Update programme and trainee data in the systems required by JPK.
- Manage documentation related to trainee training financing applications under the Skills Development Fund Corporation (PTPK).
- Assist and guide trainees through the following processes PTPK loan applications, Preparation and verification of supporting documents.
- Coordinate and update records on trainees’ financing and loan status.
- Liaise with PTPK officers regarding approvals, disbursements, and related enquiries.
- Ensure compliance with all terms, policies, and procedures stipulated by PTPK.
QUALIFICATIONS & SKILLS
- Minimum Diploma, Diploma in Administration, Management, TVET, or related field.
- Proficient in computer applications (Microsoft Office / Google Workspace).
- Basic knowledge of Department of Skills Development (JPK) and Skills Development Fund Corporation (PTPK) processes or willingness to be trained.
- Strong communication, documentation, and teamwork skills.
- Detail-oriented, disciplined, and able to work under deadlines.
Job Types: Full-time, Contract
Contract length: 12 months
Pay: RM1,800.00 - RM2,300.00 per month
