Responsibilities

About the role

We are seeking an experienced and detail-oriented Admin Executive to join our team in Kota Kemuning, Selangor. This is a full-time position that offers an opportunity to work in a dynamic and fast-paced environment. The Admin Executive is responsible for providing administrative and operational support to ensure the smooth daily operation of the company. The role includes handling documentation, coordinating office administration matters, assisting in property-related administrative tasks, handling drawings and project documents and liaising with contractors when required.

What you'll be doing

Administrative Duties
  • Perform daily administrative and clerical duties.

  • Prepare, organize, and maintain proper filing systems and company records.

  • Handle correspondence, data entry, documentation, and report preparation.

  • Prepare letters, memos, quotations, and other administrative documents.

  • Coordinate meetings, appointments, and office schedules.

  • Monitor and maintain office supplies and general office administration.

  • Assist in handling company invoices, purchase requests, and payment documentation.

  • Ensure proper documentation and record keeping at all times.

Property & Project Coordination Support
  • Assist in handling property-related administrative matters.

  • Coordinate and liaise with contractors, suppliers, and service providers.

  • Follow up on maintenance, renovation, and project progress.

  • Assist in handling and maintaining drawings, layouts, and project documents.

  • Ensure updated drawings and related documents are properly filed and organized.

  • Coordinate with contractors regarding document submissions and project updates.

General Responsibilities
  • Support Management and other departments on administrative matters.

  • Maintain confidentiality of company information and documents.

  • Ensure compliance with company policies and procedures.

  • Perform any other duties assigned by Management from time to time.

What we're looking for

  1. Diploma or Bachelor’s Degree in Business Administration or related field.

  2. Minimum 1–2 years of working experience in administration or related field.

  3. Experience in property or project administration will be an added advantage.

  4. Basic knowledge in handling drawings and coordinating with contractors is preferred.

  5. Proficient in Microsoft Office applications (Word, Excel, PowerPoint).

  6. Good communication and organizational skills.

  7. Responsible, detail-oriented, and able to multitask.

  8. Able to work independently with minimum supervision.
