Job Responsibilities
- Manage and oversee the overall daily operations of the property, facilities and building management at the assigned site.
- Act as the main person in charge at site and ensure all management, maintenance, operational and administrative matters are carried out properly.
- Plan, coordinate and monitor preventive maintenance and corrective maintenance works for building facilities, common areas, M&E systems and related equipment.
- Supervise and monitor site staff including building executive, marketing executive, administration, accounts, chargeman, technician, handyman and other personnel assigned to the site.
- Coordinate, supervise and monitor appointed contractors and service providers including security, cleaning, landscaping, lift, fire-fighting system, generator set, pumps, electrical, plumbing, pest control and other building maintenance services.
- Ensure all contractors perform their duties according to the agreed scope, schedule, service level and contract requirements.
- Attend to residents’, tenants’, vendors’ and public complaints, enquiries and requests in a professional and timely manner.
- Liaise with the client, residents, tenants, vendors, contractors, authorities and other relevant parties on operational and facilities management matters.
- Conduct regular site inspections to ensure the building, common areas, facilities, equipment and surrounding areas are properly maintained, clean, safe and functional.
- Monitor the condition of common facilities, commercial areas, public areas, vacant units, car park areas and other areas under management responsibility.
- Ensure building rules, house rules, safety procedures and operational policies are properly implemented and followed.
- Oversee the planning and coordination of site activities, community engagement programmes, vendor activities and tenant/resident engagement together with the marketing team.
- Monitor occupancy, tenant/vendor activities and commercial-related matters where applicable, and report any issues or improvement opportunities to management.
- Prepare and review monthly management reports, maintenance reports, complaint reports, contractor performance reports, incident reports and other reports required by management/client.
- Monitor site expenses, operational costs, purchase requests, quotations, service reports and related documentation.
- Assist in preparing budget, maintenance planning, asset planning and recommendations for repair, replacement or upgrading works.
- Ensure proper filing and record keeping of contracts, licenses, service reports, inspection records, permits, complaints, correspondence and other site documents.
- Ensure compliance with relevant laws, regulations, local authority requirements, safety standards and statutory requirements related to building and facilities management.
- Respond to emergency situations including breakdowns, power failure, water disruption, fire alarm activation, flooding, security incidents and other urgent site matters.
- Ensure proper communication and reporting between the site team, head office, client and all relevant parties.
- Identify operational issues, propose improvements and implement solutions to improve building performance, resident satisfaction and cost efficiency.
- Perform any other duties related to property management, facilities management and site operations as assigned by management.
Requirements
- Candidate must possess at least Degree in Facilities Management, Property Management, Building Management, Engineering, Real Estate, Business Administration or any related field.
- Minimum 3–5 years of working experience in property management, facilities management, building management or related field.
- Experience managing residential, mixed-use, commercial or government-related properties will be an added advantage.
- Able to manage site operations, contractors, residents, tenants, vendors and staff.
- Good knowledge of building maintenance, M&E services, contractor management, safety procedures and facilities operations.
- Able to prepare reports, letters, records, minutes of meeting and basic operational documentation.
- Good communication skills in Bahasa Malaysia and English.
- Able to work independently, solve problems and make proper decisions at site level.
- Responsible, disciplined, hands-on and able to work under pressure.
- Computer literate and familiar with Microsoft Office.
- Candidate must possess own transport and be able to travel for site-related matters when required.
Working Hours
Monday to Friday: 8.30 a.m. – 5.30 p.m.
Saturday: 8.30 a.m. – 1.00 p.m.
May be required to attend to urgent site matters, emergencies or scheduled activities outside normal working hours when necessary.
