Responsibilities

About your role

Join our dynamic Retail Admin team supporting our fast-growing New Car Multibrand EV showroom. In this role, you will play a key part in ensuring smooth daily sales operations by managing vehicle documentation, inventory, and delivery coordination. If you are detail-oriented, organized, and enjoy working in a fast-paced automotive environment, this is a great opportunity to contribute directly to delivering a premium EV ownership experience to our customers.

What you’ll be doing

  • Manage and process all documentation related to new vehicle sales accurately and efficiently.
  • Handle vehicle registration matters (Puspakom, MySikap), insurance, e-plate, and road tax arrangements.
  • Ensure full compliance with local transport authority regulations and company policies.
  • Maintain accurate and up-to-date records for all vehicles and customers.
  • Support the sales team by booking vehicles, preparing official receipts, processing buyer orders, and generating invoices.
  • Monitor and update showroom inventory in the system.
  • Coordinate vehicle movement with the logistics team to ensure timely deliveries.
  • Prepare daily, weekly, and monthly reports on sales, stock, and deliveries.
  • Support internal and external audits by organizing required documentation.
  • Maintain proper filing systems and manage showroom office supplies.
  • Assist with weekend showroom operations and local roadshow events when required.

Requirements

  • Candidates must possess at least a Diploma/ Bachelor’s degree in any field.
  • Minimum 1 year of working experience in administration, automotive, or related fields.
  • Prior experience in the automotive industry or vehicle registration processes will be an added advantage.
  • Familiar with basic documentation, invoicing, and inventory management processes.
  • Detail-oriented, well-organized, and able to multitask in a fast-paced environment.
  • Punctual, responsible, and result-driven with a positive working attitude.
  • Able to work independently as well as in a team.
  • Good communication skills in English and Bahasa Malaysia; ability to speak additional dialects will be an added advantage.
