Job Description

Responsibilities

The Assistant Manager, HR Operations is responsible for managing the full spectrum of Human Resource functions. This includes recruitment, onboarding, employee lifecycle management, employee relations, and industrial relations. The role oversees end-to-end recruitment for junior executive level and supports HR operational activities to ensure compliance with company policies and Malaysian labour regulations.

1. HR Operations & Administration

  • Maintain and update employee personal files, HR database, and HR documentation.
  • Ensure all HR records are accurate and compliant with company policies and statutory requirements.
  • Support the implementation and communication of HR policies and procedures.

2. Onboarding & Employee Lifecycle Management

  • Manage end-to-end onboarding process, including preparation of employment documents, orientation, and induction programmes.
  • Ensure smooth integration of new employees into the organisation.
  • Administer employee lifecycle processes including confirmation, transfer, promotion, and resignation.
  • Maintain proper documentation for all HR transactions and employee records.

3. Leave, Attendance & Overtime Administration

  • Oversee leave management to ensure compliance with company policies.
  • Monitor attendance records and overtime claims for accuracy and adherence to policy.
  • Prepare reports and provide insights on attendance trends and workforce utilisation.

4. Employee Relations & Industrial Relations

  • Provide guidance to employees and supervisors on HR policies and employment-related matters.
  • Assist in handling disciplinary cases, including investigations, warning letters, and domestic inquiry processes where required.
  • Support resolution of employee grievances and workplace disputes in compliance with company policies and labour laws.
  • Ensure proper documentation and adherence to employment legislation.

5. Recruitment & Talent Acquisition

  • Manage full recruitment cycle for roles up to Senior Executive level, including job posting, sourcing, screening, interview coordination, and offer management.
  • Work closely with hiring managers to understand manpower needs and job requirements.
  • Maintain recruitment records and provide regular hiring updates to management.

6. HR Projects & Continuous Improvement

  • Support HR initiatives, projects, and ad-hoc assignments as required by management.
  • Identify opportunities to improve HR processes and enhance operational efficiency.

Job Requirements:

  • Bachelor’s Degree in any discipline.
  • 4–6 years of relevant HR experience, preferably in a generalist role.
  • Hands-on experience in recruitment, HR operations, and industrial relations.
  • Strong knowledge of Malaysian Employment Act and labour regulations.
  • Strong interpersonal and communication skills with the ability to handle employee relations effectively.
  • Well-organised, proactive, and able to manage multiple HR functions.
  • Willingness to travel to Klang for staff onboarding when required (once or twice a month)
