Job Description

Responsibilities

Objectives of the Position:

  • Ensure effective execution of inbound and outbound transportation (Import & Export) including documentation and system (SAP TM) processes
  • Maintain accurate reporting, cost control, and compliance with company and regulatory requirements
  • Drive timely issue resolution, escalation, and continuous improvement across logistics operations
  • Support monitoring of service provider performance against defined KPIs

Main Tasks:

1. Operations Management

  • Manage end-to-end Import & Export shipment processes (Air, LCL, FCL, ISO, tanker, parcel tanker)
  • Coordinate shipment arrangements with LLP, LSP, warehouse, PPC, and stakeholders
  • Prepare and validate shipping documentation and ensure proper system updates (SAP TM)
  • Handle MDB block release and shipment readiness validation
  • Troubleshoot system or operational issues impacting shipment execution

2. Reporting & Analytics

  • Prepare and manage operational reports including:
  • LLP Rework Report
  • LCL/Air KPI Report
  • TCO Report
  • Demurrage & Detention Report
  • Freight Cost Clean-up (weekly & monthly)
  • FCV bi-weekly updates
  • Validate data with LLP/LSP and ensure submission within defined timelines
  • Analyze deviations and drive corrective actions

3. Cost Control & Billing

  • Verify freight invoices and resolve discrepancies with FCV and LSP
  • Manage trailer detention and demurrage/detention validation and approval
  • Perform freight cost clean-up and ensure closure of open items
  • Support PR issuance based on PO balance review and operational requirements

4. Claim & Issue Management

  • Manage Claim Billing and Non-Conformance Management (NCM)
  • Act as coordinator for insurance claims involving Legal, warehouse, and service providers
  • Investigate root causes and implement corrective actions for operational issues
  • Maintain issue logs and ensure closure of all reported cases

5. Spot & Rate Management

  • Manage spot rate requests (FCL, LCL, Air, Flexi, ISO) when not covered under contracts
  • Ensure proper approval prior to shipment execution
  • Maintain spot rates and supporting documentation in systems and SharePoint

6. Compliance & Audit

  • Perform health checks on operations and documentation compliance
  • Ensure all supporting documents are properly archived (SharePoint / TM / systems)
  • Support internal and external audit requirements
  • Ensure compliance with VGM (SOLAS) and other regulatory requirements

7. Knowledge & Process Management

  • Develop and maintain Work Instructions (WI), guidelines, and job aids
  • Upload and maintain documents in KNOWIT and SharePoint
  • Support process improvements and system enhancements

8. Stakeholder & Service Provider Management

  • Liaise with LLP, LSP, procurement, warehouse, PPC, finance (FCV/P2P), and Hub teams
  • Monitor service provider performance against KPIs
  • Support performance reviews and continuous improvement initiatives
  • Handle enquiries related to shipment arrangements and logistics rates

9. System & Data Management

  • Maintain SAP TM master data including route, partner (Z5), and cost elements
  • Support troubleshooting on shipment cost, FOB value, and invoice generation issues
  • Ensure data accuracy and system compliance

Minimum Education and Qualification Required for the Position:

• Education: Degree or above in international trade, logistics, supply chain or business management. Advanced diploma to be considered for candidates with more years of experience in customs and international trade.

• Working Experience:

  • 1–3 year’s experience in Import/Export operations, logistics coordination, and documentation
  • Exposure to working with logistics service providers (LLP/LSP)
  • Experience in SAP TM / MM and chemical industry is an advantage

• Technical & Professional Knowledge:

  • Proficient in Microsoft Office (Excel, PowerPoint, Word)
  • Knowledge of SAP TM processes and transportation management systems
  • Strong analytical and problem-solving skills
  • Ability to manage multiple stakeholders and operational priorities
  • Good communication skills (written & spoken English)
  • High level of ownership, accountability, and attention to detail
