Seafreight Operations Executive

Job Overview

We are looking for a proactive and detail-oriented Seafreight Operations Executive to manage Ocean Freight Export operations and shipment coordination activities. The ideal candidate will be responsible for ensuring smooth shipment arrangements, maintaining strong communication with customers, vendors, shipping lines, and overseas offices while delivering excellent customer service and operational efficiency.

Key Responsibilities
  • Handle enquiries, bookings, and shipping documentation requests for seafreight shipments.

  • Coordinate shipment arrangements with customers, shipping lines, freight forwarders, vendors, and overseas offices.

  • Register and update shipment details accurately in the CW1 forwarding system according to company SOP and compliance requirements.

  • Prepare, verify, and process shipping documents such as Bill of Lading, Master Bill of Lading, shipping certificates, advance manifests, and SOLAS/VGM submissions.

  • Monitor shipment progress and provide timely shipment updates and pre-alerts to relevant stakeholders.

  • Ensure proper handling of dangerous goods/hazardous cargo documentation and approvals.

  • Coordinate permit declaration activities with vendors and ensure compliance with shipping regulations.

  • Handle cargo irregularities, shipment delays, damages, or claims and escalate issues when necessary.

  • Ensure timely invoicing, payment collection, and accurate cost updates in the system.

  • Verify vendor and intercompany invoices while resolving billing discrepancies promptly.

  • Maintain proper filing and uploading of shipment documents into eDoc systems.

  • Support monthly reporting requirements and ensure adherence to customer-specific SOPs and company policies.

  • Participate in operational improvement projects and initiatives as assigned.

Requirements
  • Minimum 1 year of working experience in Seafreight, Ocean Freight, or Freight Forwarding operations.

  • Fresh graduates with relevant internship experience are encouraged to apply.

  • Knowledge of import/export shipping documentation and freight forwarding processes is an added advantage.

  • Familiarity with CW1 system will be an advantage.

  • Proficient in Microsoft Office applications such as Excel, Word, PowerPoint, and Outlook.

  • Good communication and coordination skills.

  • Able to work in a fast-paced environment and manage multiple shipments simultaneously.

  • Strong attention to detail and problem-solving skills.
