Job Description

Responsibilities

Job Responsibilities Supplier Master Data Management

  • Create and maintain supplier master records.
  • Manage periodic renewal of supplier information, including:
    • Non-Disclosure Agreements (NDA) using VSMC templates
    • Corporate Social Responsibility (CSR) documentation using VSMC templates
    • Construction Site Safety Management Undertaking signing
Internal Document Management

  • Organize, file, and maintain OI documentation.
  • Manage EUC documentation.
  • Support contract management activities, including:
    • Updating contract numbers in the ERP system
    • Tracking and following up on contract signing progress
  • Monitor monthly JCN closing status and follow up on pending approvals and signatures
Supplier Document Follow-up and Compliance

  • Coordinate supplier document sign-back and follow up on outstanding items.
  • Manage and file OI-related documentation.
  • Ensure collection and tracking of:
    • Hazardous Substance Commitment Guarantee
    • Certificate of Analysis (COA) specification compliance documentation
    • Environmental, Health, and Safety (EHS) compliance documentation
Supplier Visit and Meeting Coordination

  • Apply for vehicle access permits and notebook (laptop) carrier approvals.
  • Arrange and manage meeting room bookings for supplier visits and meetings.

  • Undergraduate student or recent graduate in Business Administration, Supply Chain Management, Procurement, Engineering, or a related field.
  • Basic understanding or strong interest in supplier management, documentation control, or administrative support.
  • Ability to manage documents accurately and maintain organized records.
  • Familiarity with Microsoft Office applications (Excel, Word, PowerPoint).
  • Detail-oriented, responsible, and able to follow procedures and instructions carefully.
  • Willingness to follow up on tasks and coordinate with internal teams and external suppliers.
