Key Responsibilities:
Administrative Management
- Lead and manage day-to-day administrative operations across multiple departments.
- Develop, implement, and maintain administrative policies, procedures, and best practices.
- Coordinate office facilities, asset management, travel arrangements, and vendor services.
- Monitor administrative budgets and control operating expenses.
Supply Chain & Procurement Support
- Coordinate procurement documentation, purchase orders, contracts, and supplier records.
- Support vendor onboarding, compliance checks, and contract administration.
- Track procurement activities and assist in monitoring supplier performance.
- Maintain accurate records of inventory, assets, and procurement transactions.
- Facilitate communication between suppliers, procurement teams, and internal stakeholders.
Business Operations Support
- Prepare management reports, presentations, meeting materials, and business correspondence.
- Coordinate departmental planning, budgeting, and performance tracking activities.
- Support business process improvement initiatives and operational efficiency projects.
- Assist in policy implementation and compliance monitoring.
Engineering Administration
- Maintain engineering project documentation, technical records, and revision controls.
- Coordinate project meetings, schedules, and cross-functional communications.
- Support engineering teams with administrative requirements related to projects, contracts, and resource planning.
- Ensure proper filing and management of technical documents and project deliverables.
Documentation & Compliance
- Establish and maintain document control systems.
- Ensure compliance with company policies, regulatory requirements, and quality standards.
- Manage records retention and document archiving processes.
- Support internal and external audits by preparing required documentation.
Stakeholder Coordination
- Act as a central point of contact between Supply Chain, Procurement, Business, Engineering, and external stakeholders.
- Coordinate meetings, workshops, and cross-functional initiatives.
- Follow up on action items and ensure timely completion of assigned tasks.
Team Leadership
- Supervise administrative staff and provide coaching, training, and performance management.
- Allocate workloads and monitor team productivity.
- Foster a culture of continuous improvement and service excellence.
Qualifications
Education
- Bachelor's Degree in Supply Chain Management, Procurement, Business Administration, Engineering Management, Operations Management, or a related field.
Experience
- 5–10 years of experience in administration, operations, procurement, supply chain, or project coordination.
- At least 3 years of supervisory or management experience preferred.
- Experience supporting technical, engineering, or procurement environments is an advantage.
- Able to work in a fast-paced environment and handle multiple tasks.
- Proactive, positive, and responsible individual.
- Able to work under tight deadlines with a strong sense of urgency.
Pay: $2,880.00 - $4,200.00 per month
