Responsibilities

The Admin Assistant provides administrative support to the company’s office and project teams. This role involves handling office tasks, assisting with project documentation, managing schedules, and coordinating office operations to ensure smooth and efficient business activities.

Key Responsibilities:

  • General Office Administration
  • Manage office supplies, ensuring stocks are maintained and re-ordered when necessary.
  • Handle incoming calls, emails, and correspondences and direct them to appropriate departments or personnel.
  • Manage office supplies, stationery, pantry items, and office equipment
  • Coordinate office maintenance, repairs, and service providers.
  • Handle incoming calls, emails, couriers, and correspondence.
  • Company Vehicle Management
  • Maintain records for all company vehicles, lorries, forklifts, sky lifts, and other company assets.
  • Monitor vehicle service schedules and preventive maintenance.
  • Arrange vehicle repairs and maintenance with appointed workshops
  • Ensure timely renewal of road tax, vehicle insurance, permits, and inspections (PUSPAKOM where applicable)
  • Monitor vehicle usage records, service history, and maintenance costs
  • Coordinate accident reports, insurance claims, and vehicle-related documentation
  • Calendar Management & Scheduling
  • Manage office calendar and appointments, schedule meetings, and arrange travel logistics for staff and clients.
  • Organize meetings, prepare meeting agendas, and take meeting minutes when necessary.
  • Coordinate the booking of venues for internal or external events, workshops, or training sessions.
  • Arrange meeting rooms, refreshments, and logistics
  • Client & Visitor Interaction
  • Greet visitors and clients in a professional and courteous manner.
  • Coordinate client meetings, site visits, and presentations.
  • Handle client inquiries and direct them to the appropriate personnel or departments.
  • Business License & Compliance Management
  • Monitor validity and renewal schedules of company licenses, registrations, and permits.
  • Coordinate renewal of business licenses, CIDB registrations, MOF registrations, local authority licenses, and other statutory requirements.
  • Maintain records of compliance certificates, licenses, and permits
  • Ensure company administrative records are updated and compliant with legal requirements
  • Office Organization & Maintenance
  • Ensure the office environment is clean, organized, and welcoming for staff and visitors.
  • Coordinate office maintenance and repair services as needed.
  • Organize and maintain filing systems, both digital and physical, to ensure efficient retrieval of documents.
  • Ensure office cleanliness, organization, and professional appearance always

Pay: RM2,500.00 - RM3,500.00 per month
