To keep the work moving, we need an organised and supportive Admin & Finance Executive to help with the day-to-day office operation. Your Role

This role blends administration, finance, and compliance, ensuring Axross runs efficiently.


1. Finance operations & reporting

  • Manage invoices, payroll, reimbursements, vendor payments, and employee claims
  • Prepare and issue customer invoices, track client payments, and follow up on receivables
  • Reconcile bank statements, payment records, and finance trackers
  • Own cash flow tracking and prepare monthly cash flow / finance reports for management
  • Maintain proper finance records, including invoices, receipts, contracts, payment documents, and supporting


2. Accounting, compliance & tax coordination

  • Prepare financial schedules and supporting documents for external accountants, auditors, and tax advisors
  • Coordinate monthly / quarterly management accounts, annual audit preparation, and audit follow-ups
  • Manage group-level consolidation, intercompany reporting, and statutory documentation where required
  • Handle SST registration, reporting, tax filings, tax estimates, and related documentation
  • Maintain records for deductible expenses, capital allowances, R&D claims, incentives, grants, and MDEC-related matters
  • Identify and flag potential tax, accounting, or compliance issues where relevant


3. Budgeting, cash flow & commercial finance

  • Manage budget tracking, expense forecasting, cash flow updates, and runway tracking
  • Track actual expenses against budget and identify cost optimization opportunities
  • Own project-level financial tracking, including costs, billing, collections, margins, and profitability
  • Track customer contract terms, including billing milestones, payment terms, renewal dates, and finance-related obligations
  • Ensure invoicing and payment follow-ups are aligned with signed proposals and contracts
  • Prepare basic pricing, payment structure, and commercial model analysis where required


4. Process improvement, systems & internal controls

  • Review finance and admin workflows to identify gaps, inefficiencies, and improvement areas
  • Create and maintain systems, trackers, templates, and SOPs for finance, reporting, approvals, and administrative processes
  • Drive automation of monthly reporting, cash flow tracking, and project-level reporting
  • Improve internal controls for payments, claims, vendor expenses, approvals, and documentation
  • Manage implementation or improvement of accounting, payroll, expense, and reporting tools


5. Office administration & team operations

  • Manage daily office administrative matters and ensure smooth internal operations
  • Coordinate meeting rooms, office supplies, workspace needs, visitor arrangements, name cards, and general office requests
  • Maintain company asset tracking, inventory records, filing systems, and internal admin records
  • Manage business travel arrangements, including flights, accommodation, transport, itineraries, check-ins, and related expense planning
  • Handle import permits, customs clearance, shipment coordination, and related documentation where required
  • Own ad hoc administrative and operational matters to support the team


What We’re Looking For:

  • 4+ years of experience in finance and administration preferably in a startup or SME.
  • Strong understanding of bookkeeping, financial reporting, and compliance.
  • Proactive, detail-oriented, and able to manage multiple responsibilities.
  • Familiarity with automation tools (Slack, Notion, Google Workspace) for improving efficiency.
  • Ability to take initiative and thrive in a fast-moving, high-growth environment.
