Responsibilities

1. Office Administration
Maintain office supplies, stationery, and office equipment, ensuring adequate stock levels at all times.
Ensure office facilities are clean, organized, and well-maintained, and coordinate with vendors or service providers for repairs and maintenance when required.
Manage incoming and outgoing mail, courier services, deliveries, and visitor reception.
Monitor and coordinate meeting room bookings and schedules.
Provide general administrative support, including filing, photocopying, scanning, and document management.
Liaise with the Head Office and Building Management regarding announcements, notices, and other important communications, and ensure relevant information is communicated to employees promptly.
Check and monitor incoming mail, documents, and correspondence.
2. Reception/Front Desk Support
Ensure the smooth daily operation of the reception area while delivering excellent customer service.
Greet and welcome customers in a professional, courteous, and friendly manner.
Answer, screen, and direct incoming phone calls efficiently and professionally.
Provide customers with accurate information regarding procedures, services.
Schedule and coordinate customer appointments and treatments accurately and promptly.
Maintain a clean, organized, and professional reception area at all times.
Address customer inquiries and concerns promptly, ensuring a positive customer experience.
Serve customers by preparing rooms, monitoring their condition, and offering refreshments as needed.
Ensure the reception area is tidy, organized, and presentable.
Job Requirements:
Minimum 1 years of experience in a receptionist, front desk, or customer service role.
Proficient in Microsoft Office applications, including Word, Excel, and Outlook.
Strong communication, interpersonal, and customer service skills.
Professional appearance, positive attitude, and excellent attendance record.
Well-organized, detail-oriented, and able to manage multiple tasks effectively.
Able to work independently and as part of a team in a fast-paced environment.
Working Hours: Monday to Friday, 9:00am to 6:00pm.
