Job Purpose
Document Controller is responsible for managing, maintaining, and controlling all documentation related to the Hazard Analysis and Critical Control Point (HACCP) system & other document that related to our system. This role ensures that all documents, records, and forms comply with regulatory requirements, internal quality standards, and audit expectations.
Duties & Responsibilities:
HACCP Document Control
- Maintain, update, review, and control HACCP documents, including HACCP Plans, Hazard Analysis, CCP records, SOPs, PRPs, and SSOPs.
- Manage document revisions, version control, distribution, archiving, and removal of obsolete documents
Record Management
- Maintain HACCP records such as monitoring logs, verification/validation records, and audit reports.
- Ensure records are accurate, complete, properly filed, and retained according to regulatory and company requirements.
Forms & Checklists Management
- Develop, standardize, and update HACCP-related forms and checklists.
- Ensure departments use the latest approved versions and comply with record completion requirements.
Training Documentation
- Maintain records for HACCP, GMP, and food safety training.
- Track attendance, competency assessments, and certifications, ensuring documentation is up to date.
Audit & Compliance Support
- Prepare and organize documentation for internal and external audits.
- Ensure documents are audit-ready, traceable, and compliant.
- Support closure of audit findings related to documentation.
Coordination & Communication
- Work closely with Production, QA, and other departments to ensure compliance with document control procedures.
- Provide guidance on documentation and record-keeping requirements.
Continuous Improvement
- Identify and implement improvements to document control processes.
- Support digitalization and system enhancements for document management.
Job Requirements:
- Diploma/Degree in Food Science, Food Technology, Quality Assurance,
- or related field.
- Minimum 1–3 years’ experience in document control within food
- manufacturing.
- Familiar with HACCP principles, GMP, and food safety standards.
- Strong organizational and documentation management skills.
- Good attention to detail and accuracy.
- Proficient in Microsoft Office (Excel, Word, SharePoint or similar
- systems).
- Experience handling audit documentation is an added advantage.
