About the role
The incumbent is responsible for end-to-end planning, coordination, and delivery of SAP programmes, with immediate focus on SAP phase 2 implementation (CO, SD, PS, QM, PP) and enhancements to FI and MM modules, along with SAP version upgrades.
This role coordinates business stakeholders, in-house IT/SAP team members, and external system integrators/consultants to deliver outcomes within agreed scope, timeline, budget, and quality standards.
The role requires a working understanding of SAP landscape (DEV/QAS/PRD), SAP organisational structure, and cross-module integration so that dependencies, testing impacts, and risks are managed proactively with a collaborative approach.
Key Responsibilities:-
Applications Lifecycle Management (ALM)
- Lead SAP implementation and SAP version upgrade delivery using a structured methodology (e.g., SAP Activate) with clear phase gates and sign-offs.
- Define and baseline project scope, objectives, deliverables, milestones, and success criteria with stakeholders; manage scope change through impact assessment and approvals.
- Develop and maintain an integrated project plan (schedule, resources, dependencies) and ensure all workstreams are aligned to agreed timelines.
- Facilitate fit-to-standard workshops and ensure decisions are documented, approved, and translated into actionable build/configuration tasks for the delivery team.
- Maintain working understanding of SAP organisational structure (e.g., client, company code, plant, purchasing organisation, sales organisation) to manage impacts and dependencies across sites.
- Coordinate cross-module integration planning and execution (e.g., FI/CO with MM, SD, PP, QM, PS as applicable) and ensure end-to-end process flows are validated.
- Coordinate interface and integration points with external systems; ensure clear ownership for technical design, build, and defect resolution.
- Own testing governance across the programme: test strategy, SIT/UAT/regression planning, defect triage, and readiness/sign-off management.
- Coordinate data migration and master data readiness (cleansing, mapping, load cycles) with business owners and technical teams.
- Plan and coordinate cutover activities including downtime planning, sequencing of activities, contingency/rollback planning, and go-live readiness checkpoints.
- Maintain RAID log (risks, assumptions, issues, dependencies) and ensure timely mitigation actions and escalations where decisions are required.
- Manage and monitor external consultants/system integrators against SOW deliverables, quality expectations, and timelines; ensure effective utilisation of in-house team members.
- Ensure controlled documentation and approvals are maintained for audit readiness, including change management and evidence capture (CSV/GxP expectations where applicable).
- Coordinate user enablement activities: training plan, key user readiness, communication, and adoption activities to minimise disruption.
- Ensure smooth transition to hypercare and steady-state support (handover to support/AMS, knowledge transfer, and closure of outstanding issues).
Operations Management
- Liaise with department/line managers to understand current and anticipated SAP demand; translate needs into a prioritised project backlog and delivery roadmap.
- Run regular project cadence (weekly status meetings, action reviews) and maintain project artefacts (minutes, action register, RAID log, and status reports).
- Coordinate resources across business, IT, and vendors to ensure timely resolution of issues and to remove blockers affecting delivery.
- Coordinate SAP upgrade prerequisites and environment readiness with BASIS/technical and infrastructure teams (DEV/QAS/PRD readiness, refreshes, access, and change windows).
- Ensure compliance with IT policies and procedures, including change control, access governance, and documentation discipline for audit readiness.
- Support IT budget planning and cost control for SAP programme activities, including vendor invoices tracking and forecasting.
Team Work & People Management
- Encourage open and respectful dialogue across IT, business teams, and external partners; promote collaboration and shared ownership of project outcomes.
- Work independently and as an effective team member; demonstrate accountability, transparency, and proactive follow-up on actions.
- Build cooperative working relationships with stakeholders across sites; facilitate resolution of conflicts and alignment of priorities.
- Continuously improve project delivery practices (planning, reporting, risk management) and share knowledge/lessons learned with the team.
