Join our team for a dynamic role with an outsourced project. We are seeking a proactive and detail-oriented individual to support the planning, coordination, resource development, procurement, and administrative operations of health-related programmes and initiatives.
Key Responsibilities:
Programme Resource Development & Coordination
- Develop and coordinate programme materials in both hardcopy and digital formats to support school health initiatives and related programmes.
- Prepare materials such as information pamphlets, guides, playbooks, briefing materials, presentation slides, videos, toolkits, and communication resources.
- Support onboarding and familiarisation sessions for staff on programme resources and workflows.
- Coordinate and maintain engagement with internal stakeholders, schools, and external partners to support smooth programme delivery.
- Provide administrative and operational support for programme implementation and follow-up activities.
- Track programme progress, maintain documentation, and highlight operational issues or improvement areas where necessary.
School Health Administrative Support
- Support the planning, coordination, and execution of school health activities and initiatives.
- Liaise with schools and relevant stakeholders to facilitate programme delivery, including health-related activities and outreach programmes.
- Monitor programme schedules and ensure activities are carried out according to established timelines and procedures.
- Serve as a point of contact for queries, feedback and escalations.
- Provide general administrative support including scheduling meetings, and taking meeting minutes.
- Assist in preparing reports, updates, and presentation materials for stakeholders.
Procurement & Resource Support
- Support procurement activities including sourcing and comparing quotations, raising purchase requests/orders, and processing invoices or related finance documents.
- Coordinate procurement and resource requests in accordance with organisational guidelines and procedures.
- Liaise with internal departments and external vendors to ensure timely delivery of materials, services, and resources.
- Maintain accurate records of procurement activities
Phone Survey & Reporting Support
- Support the preparation and coordination of phone survey activities for programme monitoring and evaluation purposes.
- Assist in reviewing survey questions and ensuring alignment with programme objectives.
- Coordinate survey schedules and follow up with relevant stakeholders where required.
- Monitor survey administration and data collection progress to ensure completeness and accuracy.
- Consolidate survey findings and assist in preparing reports and summaries for programme review and improvement.
Requirements:
- Diploma or GCE A Level qualification.
- Minimum 1 to 2 years of relevant work experience in administrative support role, programme coordination or related discipline.
- Experience in procurement related projects or vendor liaison will be advantageous.
- Good communication and interpersonal skills.
- Strong organisational, project coordination, and stakeholders’ engagement abilities.
- Able to manage multiple tasks in a fast-paced environment.
- Proficient in Microsoft Office tools (Excel, PowerPoint, Word, Outlook etc)
- Familiar with Canva, Adobe Photoshop, and/or Adobe Illustrator.
- Able to work independently as well as collaboratively in a team environment.
Job Type: Full-time, Contract
Working Time:
Monday to Friday: 8.30am to 6.00pm
Pay: $2,800.00 - $3,000.00 per month
