Job Description
The Senior Executive / Assistant Manager plays a key role in supporting both administrative and student-service functions for the NUS Business School undergraduate programme. This includes overseeing academic and university-level processes, while working closely with students, faculty members, academic departments, and other University units.
This role is well suited for an independent, organised, and detail-oriented professional who is able to manage multiple stakeholders effectively. The incumbent will also support the Team Lead in driving continuous improvement through automation, process refinement, data analysis, and course projection.
Duties and Responsibilities
1) Programme Administration & Student Support
- Support the Course Registration Exercise, including system setup, appeals processing, and student enquiries.
- Administer Independent Study Course (ISC), including application review, course allocation, monitoring timelines, and gathering student feedback.
- Support BIZ Dissertation, including application review, course allocation, appointment of examiners, presentation and grade submission.
- Host the Advance Placement Test (APT), including registration, test setup, release of results, invigilation, and Advance Placement Credit (APC) posting.
- Review Leave of Absence (LOA) applications, including assessing documents and preparing recommendations to the Deanery.
- Process the University Withdrawal requests, including document review, student advisory & counselling.
2) Faculty Support & Engagement
- Work closely with faculty members, supervisors on ISC/dissertation/APT and related matters (e.g., topic scoping, supervision logistics, grade scheme alignment) to uphold academic rigour and integrity.
- Build strong working relationships with department administrators and faculty members to support the smooth operations of the Undergraduate Office.
- Provide administrative and operational support to faculty members, academic departments, and the Deanery as required
3) Student Experience & Service Delivery
- Monitor student progress for ISC and dissertation modules through periodic checks and follow-up on submission timelines.
- Ensure clear, timely, and consistent communication to students on expectations, requirements, timelines, and assessment criteria.
- Manage student enquiries professionally and provide guidance, including referral to relevant stakeholders where appropriate.
4) Operations, Governance & Continuous Improvement
- Ensure all processes comply with University and School policies and regulations.
- Review end-to-end workflows, identify gaps, and propose improvements to enhance efficiency, accuracy, and service quality.
- Participate in curriculum team-related initiatives such as automation projects, process improvement, data analysis).
5) Stakeholder & Team Collaboration
- Collaborate closely with colleagues across the Undergraduate Studies Office, departments, faculty members, and central University units.
- Provide guidance and advisory support to department administrators and faculty members on academic processes when required.
- Prepare statistics, reports, and recommendations to support decision-making by senior management.
Qualifications
- Bachelor’s degree, preferably in business-related field.
- At least 3 years of relevant experience in higher education administration, programme management, or student support.
- Strong communication and interpersonal skill, with attention to detail and the ability to manage multiple deadlines.
- Service-oriented, patient and mature when handling student or academic matters.
- Able to work well in a structured but evolving academic environment.
- IT-savvy; candidates who can demonstrate good knowledge or experience in implementing automation (power automate) or AI projects, data analysis (using power BI) would be strongly considered.
