Job Description

Responsibilities

HR & Administrative Support:

Assist with HR tasks, provide general support to management, and coordinate internal processes.

  • Manage and monitor staff calendar.
  • Assist with the onboarding process for new staff.
  • Download attendance for part time staff.
  • Arrange travel plans for managers and employees, including book flights, car rentals and hotel accommodation.

Operations & Office Administration:

Maintain office supplies, coordinate deliveries, and ensure proper documentation and filing.

  • Manage & Replenish office supplies and ensuring equipment maintenance.
  • Prepare monthly consignment reports and calculations against monthly sales reported by Consignees.
  • Monitor packaging related inventory to prevent out of stock situations.
  • Manage and coordinate documents, sample deliveries for managers.
  • Support daily operations and office administration activities
  • Provide administrative support to operational teams

Purchasing and Wholesale Support

Assist with purchasing and wholesales related tasks and ensure timely delivery and/or receiving of goods.

  • Prepare, issue, and track purchase orders to suppliers.
  • Liaise with vendors to update delivery schedules and resolve shipment delays.
  • Goods Receiving (GRN) review against PO to ensure accuracy.
  • Verify received goods against purchase orders to ensure accuracy andquality.
  • Maintain proper records and documentations of Purchase Order, Delivery Schedule and related reports.
  • Prepare and manage required paperwork for import and/or export shipments required by logistics providers and customs authorities.
  • Perform other responsibility as assigned by superior or management from time to time.

Inventory Management Support

  • Maintain inventory accuracy, space planning for storage of inventory.
  • Organize and housekeep inventory in the storeroom.
  • Prepare stock replenishment and stock picking from the storeroom in a timely manner.
  • Assist with returns, write-offs and transfers of stocks between locations.
