Job Overview
The Project Coordinator will support project execution by coordinating project activities, documentation, procurement, communication, and administrative processes. This role acts as a key support function between project teams, clients, consultants, suppliers, and subcontractors to ensure projects are delivered smoothly, on schedule, and in compliance with company requirements.
Key Responsibilities
1. Project Coordination & Administration
- Coordinate daily project activities and provide administrative support to Project Managers and project teams.
- Maintain project schedules, trackers, meeting records, action lists, and progress updates.
- Coordinate communication between internal departments, clients, consultants, contractors, and suppliers.
- Follow up on project deliverables, submissions, approvals, and outstanding matters.
- Support project meetings by preparing agendas, minutes, and follow-up actions.
2. Document Control & Project Records
- Manage project documentation including drawings, specifications, reports, contracts, submissions, and correspondence.
- Maintain proper document registers, filing systems, revision control, and document traceability.
- Coordinate issuance and distribution of project documents to relevant stakeholders.
- Ensure project records are properly maintained for reporting, compliance, and audit purposes.
3. Engineering & Technical Coordination Support
- Coordinate engineering documents, drawings, technical submissions, and project-related information.
- Liaise with engineering teams, consultants, clients, and subcontractors on document submissions and approvals.
- Track technical clarifications, comments, revisions, and project changes.
- Support preparation of project reports and documentation.
4. Procurement & Supplier Coordination
- Support procurement activities including RFQ preparation, quotation comparison, and purchase documentation.
- Coordinate with suppliers on quotations, lead times, delivery schedules, and documentation.
- Monitor procurement status and update project teams on material/equipment progress.
- Maintain purchase orders, delivery orders, and supplier records.
5. Contract & Commercial Support
- Assist in maintaining contract-related documents, variation records, claims documentation, and project correspondence.
- Support preparation of progress claims and commercial documentation.
- Ensure project documentation aligns with contractual requirements.
6. Health, Safety & Compliance Support
- Maintain project HSE documentation, reports, permits, and compliance records.
- Support ISO, safety audits, inspections, and internal documentation requirements.
- Assist in maintaining project compliance records and follow-up actions.
Requirements
- Diploma/Degree in Engineering, Construction Management, Business Administration, or related field.
- Minimum 1–3 years of experience in project coordination, project administration, engineering support, or construction-related roles.
- Experience in engineering, construction, M&E, or industrial projects is an advantage.
- Strong document control and coordination skills.
- Good communication and follow-up skills with internal and external stakeholders.
- Able to manage multiple tasks and meet project deadlines.
- Proficient in Microsoft Office (Excel, Word, PowerPoint).
- Familiarity with project documentation systems and ERP/project management tools is an advantage.
Preferred Skills
- Experience handling engineering drawings and technical submissions.
- Knowledge of procurement processes and supplier coordination.
- Understanding of project lifecycle, contracts, and construction/engineering documentation.
Pay: RM1,776.51 - RM7,000.00 per month
