1. Support the preparation of cost estimation and pricing inputs by consolidating data from sales, operations, procurement and finance teams, ensuring all cost elements are accurately captured using standard templates while maintaining alignment with approved costing guidelines and internal financial controls.

2. Ensure that all proposal pricing components are structured in accordance with predefined margin expectations, commercial policies, and approval limits, while highlighting any deviations or uncertainties to the reporting manager for further evaluation and decision-making.

3. Assist in maintaining and updating accurate records of proposal values, submission status, and sales pipeline data to support management reporting, forecasting activities, and visibility of potential order opportunities within the organization.

4. Minimize financial exposure and cost leakage by verifying the accuracy of bill of materials, scope inclusions, and pricing inputs, ensuring consistency between technical deliverables and commercial submissions prior to final proposal submission.

5. Ensure timely and compliant submission of proposals by coordinating deadlines, validating submission requirements, and aligning documentation with client specifications to enhance the company’s credibility and responsiveness in competitive bidding environments.

6. Support sales by interpreting customer requirements, clarifying ambiguities internally, and translating technical and commercial expectations into structured proposal inputs that meet client needs effectively.

7. Ensure all proposal documents are comprehensive, clearly presented, and aligned with customer specifications, enhancing readability, professionalism, and overall quality to improve the chances of successful bid outcomes.

8. Maintain a high level of responsiveness and professionalism when handling queries related to proposals, ensuring prompt coordination with relevant stakeholders and providing accurate information to support both internal teams and external client interactions.

9. Prepare and compile complete technical and commercial proposal documents by consolidating inputs from multiple departments, ensuring all required sections are included and formatted according to company standards and submission requirements.

10. Coordinate effectively with internal stakeholders such as sales, operations, finance, and procurement teams to obtain accurate and timely inputs, ensuring smooth execution of proposal activities within defined timelines.

11. Ensure proper document control practices including version management, document tracking, and compliance with submission protocols to avoid errors, duplication, or submission of incorrect information.

12. Adhere strictly to established standard operating procedures (SOPs), templates, and approval workflows, ensuring all proposals go through the necessary review and authorization processes before submission.

13. Develop a strong foundational understanding of the company’s products, services, and solution offerings to effectively support proposal preparation and ensure alignment between technical content and customer requirements.

14. Build competency in using proposal tools, costing templates, and documentation systems to enhance efficiency, accuracy, and consistency in proposal development activities.

15. Gain knowledge of basic commercial terms, contract structures, and proposal requirements to improve the quality and completeness of proposal submissions over time.

16. Actively participate in training programs, coaching sessions, and knowledge-sharing initiatives to continuously enhance individual capability and contribute to team development.

17. Assume responsibility of other relevant tasks as assigned from time to time.

Job Type: Full-time

Pay: RM3,000.00 - RM4,000.00 per month
