About the Role

We are looking for an Admin Executive to manage the administrative, documentation, and operational support functions of RA Robotics & Automation. This role is the backbone of our office operations — keeping things organized, coordinated, and running smoothly so our engineering team can focus on delivering world-class automation solutions.

Key Responsibilities

• General Administration

• Manage day-to-day office administration, correspondence, and filing systems

• Handle incoming and outgoing documents, emails, and phone calls

• Maintain and organize company records, contracts, licenses, and certificates

• Coordinate courier, office supplies, and vendor arrangements

• Assist in preparing letters, memos, meeting minutes, and official correspondence

• Support HR administration — staff records, leave management, attendance tracking, onboarding documentation

Procurement & Operations Support

• Assist in processing purchase orders (POs), delivery orders (DOs), and supplier invoices

• Coordinate with suppliers for quotations, deliveries, and follow-ups

• Maintain procurement records and assist in inventory tracking for office and workshop supplies

• Support the engineering and project team with administrative needs (project documentation, travel arrangements, site visit coordination)

Compliance & Documentation

• Assist in maintaining company statutory documents and renewals (SSM, licenses, permits)

• Support preparation of documents for audits, tenders, and customer submissions

• Ensure proper document control and version management for internal records

Finance Support (Basic)

• Assist with basic data entry into SQL Accounting software

• Handle petty cash claims and expense reimbursements

• Support the accounts team with filing and document preparation

Requirements

• Diploma or Degree in Business Administration, Management, or related field — or equivalent working experience

• Organized, meticulous, and able to handle multiple tasks simultaneously

• Good written and verbal communication skills in English and Bahasa Malaysia

• Proficient in Microsoft Office (Word, Excel, Outlook)

• Familiarity with SQL Accounting software is an advantage

• Prior experience in an engineering, manufacturing, or project-based company is an advantage

• Self-motivated, reliable, and able to work with minimal supervision
