About the role

We are seeking an experienced Admin Executive to join the team at Aesthetic Skin Group Sdn. Bhd. in Puchong, Selangor. This is a full-time position that plays a vital role in supporting the smooth operation of our administrative functions. As an Admin Executive, you will be responsible for managing day-to-day administrative tasks, coordinating office activities, and ensuring that all support functions run efficiently. This role is essential to maintaining the professional standards and operational effectiveness that define our organisation.

Key responsibilities

  1. Managing and organising office schedules, appointments, and meetings to ensure optimal productivity

  2. Handling correspondence, documentation, and record-keeping using appropriate filing systems

  3. Providing administrative support to senior staff and various departments across the organisation

  4. Preparing reports, presentations, and other business documents as required

  5. Managing office supplies inventory and coordinating procurement processes

  6. Answering and directing telephone calls and responding to enquiries professionally

  7. Coordinating travel arrangements and accommodation bookings when needed

  8. Maintaining confidentiality and handling sensitive information with discretion

  9. Supporting the organisation of company events, meetings, and conferences

  10. Performing general clerical duties and other ad-hoc administrative tasks as assigned

What we're looking for

  1. Proven experience working as an Administrative Assistant or in a similar administrative role within a professional environment

  2. Strong organisational and time management skills with the ability to manage multiple tasks simultaneously

  3. Excellent written and verbal communication abilities in multiple languages

  4. Proficiency in SQL accounting system, E-invoicing and Microsoft Office applications including Word, Excel, PowerPoint, and Outlook. Knowledge in AI is also an advantage

  5. Demonstrated ability to work independently whilst also being an effective team player

  6. Strong attention to detail and commitment to maintaining high standards of accuracy

  7. Professional demeanour with excellent interpersonal and customer service skills

  8. Ability to handle confidential information with integrity and discretion

  9. Flexibility and adaptability in a dynamic work environment. Willing to events if required on weekends.

  10. A relevant qualification in Business Administration, Office Management, or related field would be advantageous
